Rexdale Community Health Centre (RCHC) is a multi-service centre providing primary health care, health promotion and community support services, including settlement and community development activities for families, children, youth, adults and seniors of diverse backgrounds.


TO Wards Peace Project (TWP) is a risk driven, community-centric interruption model that takes a public health approach to interrupting and intervening in community violence.

This model leverages the lived experience of affected communities to develop and implement effective community engagement approaches, innovative communication tools, social media strategies and focused investment geared at violence prevention and interruption.

The integrated approach will combine community based, social media and hospital based violence interventions.

RCHC in partnership with the City of Toronto and other partners will oversee the development and implementation of TWP.

We are looking for an experienced Administrative Assistant to work with a dynamic team as part of the TWP project, and within the Youth and Family Services department.

We are looking for individuals that demonstrates a commitment to community change.


Position Summary:


Working closely with the TO Wards Peace Project Lead and HP Management team, the Administrative Assistant will provide administrative support to the TWP project and broader HP Team including; organizing, planning and scheduling meetings, managing files, preparing reports, collaborates and acts a liaison between multiple partners.

Working in a fast-paced and challenging environment, the Administrative Assistant with proven interpersonal skills, strong multi-tasking and organizational skills, will prioritize tasks with high attention to detail, accuracy, discretion and professionalism.


Responsibilities and Duties:
(but not limited to)

  • Provide administrative and clerical support to the TO Wards Peace (TWP) and broader HP Team
  • Support the day to day operations of the TWP project and HP Team
  • Coordinate with partners including The City of Toronto, Grassroots agencies, and Evaluation Team in addition to the multiple other partners of the HP Team
  • Operate and maintain document management systems
  • Create files and maintains efficient filing system (i.e., managing, preparing, maintaining, updating, tracking and filing manually and electronically as required)
  • Maintains electronic record system, i.e., developing templates, providing backup
  • Support in maintain and monitoring of Social Media platforms for HP Team
  • Support in community engagement and registration
  • Prepare materials for programs, meetings, presentations and workshop etc. as required
  • Assist with the cycle of recruitment and onboarding processes of TWP and other HP Team staff as required
  • Assist with scheduling and planning of capacity building and training opportunities
  • Support in developing resource lists
  • Assist in providing guidance and support to TWP and other HP Team staff on administrative queries including; RCHC policies, procedures, risk mitigation
  • Organize weekly coordination meetings with partners; distribute agenda items, record meeting minutes and document in filing system

  • Maintains high level of confidentiality
  • Attend and participate in all staff meetings and committees as required
  • Participate/Assist in the planning and implementation TWP and other HP Team programs and activities as designated by the team(s)
  • Assist the TWP and other HP Teams with other duties as required
  • Adhere to the RCHC Personnel Policy, Confidentiality Policy, and all other Centre policies and procedures

Qualifications and Skills:


  • Minimum two years' related experience in a community based setting
  • Demonstrated knowledge, skills, and abilities in social service work or community work
  • Demonstrated ability to multitask, and be flexible and organized
  • Excellent verbal and written communication skills
  • High degree of accuracy and attention to detail
  • Ability to work in a fast paced environment with mínimal supervision and take initiative
  • Ability to prioritize, multitask and adjust to shifting priorities
  • Sensitivity to people from different socioeconomic backgrounds with an equity lens.
  • Selfdirected, selfmotivated, with a positive attitude and be able to work independently and as part of a team.
  • Good interpersonal skills
  • Commitment to maintaining high level of confidentiality and integrity

$27.21 per hour


Education:


  • AEC / DEP or Skilled Trade Certificate (preferred)

Experience:


  • Office Administration in a community setting environment: 2 years (preferred)
