    Reporting to the Executive Assistant to the President, the Executive Offices Assistant performs administrative and clerical work in support of the President and Vice-Presidents offices, often of a confidential and sensitive nature.

    The incumbent is primarily responsible for performing reception duties, assisting the EA and the President with calendar management, administrative tasks, projects and events coordination as well as for providing general clerical support to the office in accordance with well-established practices and procedures, and by following verbal or written instructions.

    The department requires a collaborative team approach to ensure effective and efficient service to the University community.

    Provides reception services for the President's office.

    Manages the President's and President's Office complex and changing calendars while, adhering to University protocols, prioritizes meetings that adhere to the President's and University's strategic priorities.

    Orders and maintains an inventory of office supplies for the President's Office by monitoring stock levels and processing supply orders accordingly.

    Updates and maintains President's Office web pages.

    Reserves meeting rooms, orders catering and room set up, and assists with audio/visual set ups for meetings and events.

    Assists with, attends planning meetings, and performs assigned tasks related to events for the President's Office.
    Assists with reconciliation of purchase cards, processing business expense reimbursements and vendor contracts.
    A bachelor's degree is an asset.
    Completed training in MS Office, office practices and procedures, website management and information systems.
    Two to three years of progressive experience in administrative or executive support roles.

    • Do you have a bachelor's degree?
