Position Description:

***The Program Coordinator is a member of the WSIB Specialty Clinic Program. This position aids in the organizing, integration and delivering services within this program.

The Program Coordinator is responsible for organizing and controlling clinic activities, under the direction of the Manager, WSIB Programs.

This position assists the WSIB office by providing operational support for the development and management of the clinic, budgets, work plans, communication plans, issue logs and risk processes.


Works alongside the Manager, WSIB Programs to support cross functional teams, vendors, and contractors in the provision of services in required for the WSIB contract.


QUALIFICATIONS

  • An undergraduate degree in Business Administration or Health Related degree
  • One to three years of practical and related experience
  • Extensive experience managing a busy and complex office environment, delivering on deadlines and meeting established goals
  • Strong organizational skills required to update and maintain the clinic priorities and assist with the organization of meetings and events
  • Demonstrated high level of verbal and written communication skills
  • Effective problemsolving and critical thinking skills are essential and supported by a flexible and creative approach to resolving issues
  • Effectively translate detail into verbal, written or graphical updates
  • A team player, willing to go the extra mile to ensure team and project success
  • Advanced knowledge of the MS office Suite of products is required including Word, PowerPoint, Access and Excel
  • Senior skill level keyboarding/typing is required
  • Demonstrated ability to appreciate the confidential nature of the position
  • Strong interpersonal and customer service skills; pleasant phone manner
  • Demonstrated ability to take minutes, work on own initiative organize and set own priorities
  • Determination to overcome challenges and deliver results within the established timelines
  • Ability to manage through ambiguity and complexity

RESPONSIBILITIES

  • Assists the WSIB clinic team in drafting and issuance of project proposals, budgets and schedules.
  • Prepares reports on budget, timelines and project status for monthly reporting.
  • Regularly updates multiple schedules to ensure compliance with WSIB timelines.
  • Accurately records/registers client information for issuance to WSIB office.
  • Followsup with clients for information/ documentation required for the WSIB program.
  • Supports the program in scheduling of meetings, creation of agenda and minutes.
  • Scan and review incoming correspondence from the WSIB and other partners.
  • Prepare presentations and support documentation for internal and external parties
  • Completes electronics requisitions for supplies and completes forms for Human resources on behalf of Program Manager.
  • Manages the office, calendar and schedule of the Program Manager and other members of the WSIB team
  • Works within both EPIC and Arthur Health IT systems to register and generate client information.
  • Payroll coding staff in WSIB program.
  • Maintenance of Standard Clinical Operating Procedures.
  • Assists in the development, planning and execution of program related goals as required.
  • Effectively and accurately communicate relevant program information to clients and staff members.
  • As directed, prepares ongoing monthly, quarterly and annual reports.
  • Coordinate and ensure completion of regular and adhoc data requests and creation of reports.
  • Updates report queries when data sources and database tools are changed without losing continuity of information.
  • Supports the clinical team with data interpretation and knowledge.
  • Anticipates information needs and creatively develops ways to access information not readily available by combining data sources, and moving data between different database tools to create new reports.
