Job Title
Asset Management Coordinator
Wage $ $41.89 hourly (2023)

Reports To Manager, Corporate Assets

Department Engineering and Corporate Assets

Location Lindsay, ON

Hours Normal working hours are 40 hours per week with core working hour between 8 am and 5 pm

Other General office environment and occasional off site travel. Attend meetings, conferences and departmental emergency situations, which may be outside of normal business hours


Specific to this role:


  • Administer the municipal asset registry and other assetrelated data as assigned
  • Utilize asset management software and related systems to manage and update asset registry data, develop capital forecasts and reconcile actual with planned capital costs
  • Administer, coordinate and critically assess the flow of asset management related information between the division and internal and external partners
  • Liaise between internal and external partners as needed to support the mandate of the division
  • Administer and implement integrated asset management policies and programming and coordinate divisional asset stewardship on an integrated basis, making sure to integrate and synthesize various asset management inputs into coherent information, analyses and documents
  • Prepare capital budgets, longterm financial plans, policies, reports and other documents, or components thereof, as directed
  • Lead the preparation and implementation of asset management plans, development charges background studies, waterwastewater rate studies, capital charges studies and other asset managementrelated plans and studies, including the oversight of consulting teams retained for such studies
  • Lead asset surveys and condition assessments for designated assets for which this function is not already assigned to other divisions
  • Support and coordinate with divisions respecting their asset stewards, asset surveys and condition assessments, master plans and other asset managementrelated functions, making sure to critically review, assess and integrate asset management related inputs received from divisions
    As a member of the professional team:
  • Develop and administer procedures and recommend resources to achieve strategic objectives
  • Remain abreast of industry developments and best practices through research, networking, training and other initiatives, and leverage acquired information to make decisions and recommendations
  • Contribute to the development of internal policies and procedures
  • Manage stakeholder interactions in the supply and receipt information, analysis and resolution of issues
  • Partner with internal stakeholders to ensure effective coordination among processes and programs
  • Manage customer service concerns
  • Maintain documentation, databases and corporate records in accordance with policy and divisional practice; consider legislative municipal requirements such as MFIPPA
  • Provide research, data and analysis required for reporting and decision making
  • Procure services and goods related to areas of responsibility
  • Contribute to the identification of annual program needs
  • Compile information for the preparation of Council reports and other divisional correspondence
  • Occasional travel to various work locations is required to fulfill the job duties of the position
  • Perform other related duties as assigned

Skills/Education Required

  • University degree in Economics, Finance, Business, Civil Engineering or a related field
  • Minimum 5 years of related progressive experience, preferably in a municipal environment
  • Possess an Institute for Asset Management (IAM) or similar designation, or willingness to obtain
  • Willing to participate in ongoing development, training and additional certifications as appropriate for the position (e.g. CityWide training, Municipal Accounting and Finance (MAF) certificate, Certified Engineering Technician (CET) designation etc.)
  • Thorough knowledge of the Infrastructure for Jobs and Prosperity Act, particularly O. Reg. 588/17 (Asset Management Planning for Municipal Infrastructure), and working knowledge of other applicable legislation
  • Proficiency with CityWide Asset Manager and Capital Planning Analysis modules an asset
  • Demonstrated ability to source and implement innovative solutions to asset management challenges
  • Effective oral communication and strong interpersonal skills; excellent written communication skills; attention to detail and accuracy
  • Demonstrated customer service skills at a level to develop and maintain cooperative/collaborative working relationships both within and outside the organization
  • Demonstrated timemanagement skills with the ability to prioritize workloads and meet deadlines with mínimal supervision
  • Demonstrated ability to exercise discretion and tact and maintain a high
