Description
The Sales Coordinator primary role is to perform general office duties to support the Sales & Marketing team.

Should assist in selling guestrooms, cateringservices and banquetfacilities as directed by the Director of Sales.

Also provide high-level administrative support by conducting research, preparing statistical reports, collecting and processing sensitive data, resolving guest issues and also perform clerical functions.


Duties & Responsibilities:
Sales


  • Ensure billing for catering is done daily and PM accounts for events are monitored, and closed with appropriate payment or sent to AR.
  • Assist in answering calls and forward as required to appropriate individuals.
  • Maintain computer and paperbased filing.
  • Assist with sending out proposals, contracts to reduce the administrative work for the Director of Sales & Event Manager.
  • Input rooming lists into Opera.
  • Book wedding blocks (rooms only).
  • Order supplies.
  • Monthly reporting\production monitoring as required by DOS & GM.
  • Work closely with Reservations/Front Desk/Accounting concerning room blocks.
  • Assist with RFP season as required by DOS.
  • Support direct sales effort through administration of sales contracts, client correspondence in a timely manner.
  • Participate in various other projects or events as needed.
  • Participate in regular sales strategy sessions by providing input, taking minutes, updating and distributing action plans.
  • Ensure that all sales contracts are communicated to appropriate parties within set time frames.
  • Respond quickly to guest requests in a friendly manner.
  • Follow up to ensure guest satisfaction.
  • Prepare welcome gifts and sales packages.
  • Adhere to company policies and procedures.
  • Assist with various assignments and/or projects as assigned by management team.
  • Gather materials and assemble information packages (e.g., brochures, promotional materials).
  • Answer guest questions about property facilities/services (e.g., hours of operation, rates and room types, packages, promotions, entertainment, restaurants, special events).
  • Maintain confidentiality of proprietary information; protect company assets.
  • Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette.
  • Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees.
  • Perform other reasonable job duties as requested by Supervisors.

Marketing


  • Advocate hotel at events & activities to help increase awareness & sales in the markets.
  • Coordinate with our Director of Sales to plan events.
  • Collect and organize physical and digital marketing materials.
  • Compile and keep track of marketing materials.
  • Manage social media accounts and increase engagement
  • Collect meeting minutes.
  • Be a positive advocate for the hotel and clients by acquiring a strong familiarity with their products, mission, and values
  • Able to pivot and adapt quickly in a fastpaced changing environment.

Job Types:
Part-time, Permanent

Part-time hours: 40 per week


Salary:
$38,000.00-$40,000.00 per year
