General Description


The Service Coordinator will proactively reach out to clients for technical direction (Preventive Maintenance) and has accountability for scheduling all equipment repairs with both the internal and external teams within the service operations, while maintaining good communication with customers throughout the repair cycle as required.

Collaborate with the vendors, technicians, and client to ensure quotes, timelines and process flow are maintained to support accurate and timely WIP (work-in-progress) processing.


Job Responsibilities - Daily activities will include:

  • Make proactive phone calls to schedule service work.
  • Pursue and secure new service work for the service team through daily contact with current and new clients.
  • Promptly respond to incoming customer inquiries.
  • Basic troubleshooting to determine customer needs and provide effective solutions.
  • Utilise computer software and business systems to schedule work and create service work orders.
  • Creating repair estimate for customers and providing necessary followup.
  • Review service work orders and time sheets for accuracy prior to billing.
  • Organize and pick service parts for scheduled work.
  • Collaborate with service team and other internal departments to resolve customer issues in a timely manner.
  • Ensure any shop supplies/inventory purchased are tracked and recorded properly in P2
  • Source parts and tools during project setup and provide shipping instructions.
  • Assist with warranty and goodwill processing including documentation requirements and no charge claims.
  • Review and maintain WIP daily to support the invoicing process.
  • Update and manage service scheduler in a timely and accurate manner.
- identify, develop, and secure new business opportunities by generating leads in sales, maintaining client relationships, and coordinating promotional activities.

Qualifications:


  • High school diploma mandatory. Postsecondary diploma, or certificate is preferred.
  • Previous experience with service coordination/service dispatching is preferred.
  • Ability to develop and maintain harmonious relationships with a wide variety of people, and work as part of a cohesive team.
  • Attentive listening skills.
  • Professional and tactful communication skills (both verbal and written).
  • Proven problemsolving skills.
  • Strong technical writing skills, with experience preparing technical sales quotations/proposals.
  • Customer focus with the ability to articulate and define value for the customer.
  • Ability to prioritize and multitask, in a fast paced, frequently changing, highvolume environment, while providing consistent highquality work.
  • Excellent timemanagement and organizational skills.
  • Strong sense of duty and responsibility.
  • Comprehension of all technical information, equipment manuals, parts manuals, and maintenance schedules.
  • Accuracy and attention to detail in handling frequent paperwork and documentation processes.
  • High level of integrity and ethical values.
