What You'll Do:


  • Prepare and coordinate newsletters, communiqués, letters, memos, briefing notes, statistical reports and other documents, as necessary
  • Arrange meetings by booking rooms, ordering refreshments, and drafting and posting signage
  • Compile and distribute meeting/event materials including invitations, participant lists, agendas, and minutes
  • Coordinate travel, conferences, special events, information sessions, guest speakers and various presentations
  • Monitor media outlets, in print, digital, social and broadcasting mediums and other resources for Faculty of Nursing mentions
  • Compile and categorize data, events and communications information for reporting purposes
  • Provide basic design work, including photo/graphics selection for digital publications
  • Creates and designs digital content (videos, publications, forms, catalogues, etc)
  • Manage the filing and storage of digital assets
  • Update and maintain files, distribution lists, databases and archive files
  • Provide backup to other administrative positions
  • Post on social media accounts
  • Pay invoices, track budget expenses and monthly reconciliations
  • Organize and place orders for promotional items, advertising

Position Requirements


What You'll Bring to this Position:

  • Grade 12 supplemented by the successful completion of a recognized business course
  • Three years of related and progressively responsible experience, preferably within an academic, communications or event management environment.
  • An equivalent combination of education and experience may be considered

Skills That Will Ensure Your Success in the Role:

  • An understanding of University policies and procedures and the programs associated with the Faculty of Nursing is considered an asset
  • Proven proficiency in MS Office including Publisher, Adobe Acrobat and Creative Suites, Banner, Caspur, M365, Outlook, Cascade, and FAST
  • Demonstrated experience in all aspects of meeting coordination, including developing agendas and taking minutes
  • Experience using databases and/or spreadsheets to compile and maintain information
  • Experience with issuing invoices, tracking expenses, and running financial reports
  • Demonstrated experience organizing events and delivering professional, competent customer service
  • Ability to work both collaboratively and independently to complete tasks and make sound decisions
  • Strong interpersonal and communication skills and an ability to interact effectively in a professional manner with students, faculty, staff, program partners, alumni, donors, vendors
  • Strong communication skills including the ability to create, compose and edit a variety of documents
  • Ability to work with mínimal supervision and to be able to organize multiple tasks to meet deadlines while maintaining exceptional accuracy and attention to detail
  • Ability to be tactful and courteous, to maintain effective working relationships with other employees and a diverse range of internal and external University stakeholders
  • Knowledge of and experience in social media trends and best practices, as well as data analysis
