About Bench Brewing:


Located in the heart of Niagara's wine country, our farmhouse brewery is located on the site of the historic Maple Grove Public School in Beamsville, Ontario.

Our brewery is a place for our guests to relax, learn, and experience the craft of brewing beer.


The Bench Brewing Campus sits across eight beautiful acres and will feature a 50hL brewing system, a tap and tasting room, a beer garden, a 'funk house' for our wild ale and barrel fermentation program, and our very own hops field.


Our property was home to a beautiful catholic church built in 1938 that has been converted to the Fieldstone at Bench.

It has an indoor seating capacity of 100 guests and during the warmer seasons the events lawn can seat up to 225 guests.


The Role:


Reporting to the Event Manager, the function of the Event Coordinator role is to ensure client satisfaction, consistency in service and standards, event planning and overall event execution.

The Event Coordinator serves as the primary point of contact for clients throughout all phases of planning leading up to finalization and execution.

They will ensure that Fieldstone's standards of customer service and satisfaction are exceeded throughout the entire process and remain focused on building a strong reputation within the community, craft beer landscape and the hospitality industry.


Responsibilities:

Planning and Coordination_

  • Support the coordination of all events including public community events, offsite opportunities, brewery public events, wedding, corporate events, and social bookings
  • Support creation of banquet event orders (BEOs), floor plans, and other documents required for all team members participating with the event
  • Ensuring that all BEO's are reviewed by the client and signed off on by client to confirm their approval
  • Coordinate event logistics for menu tastings (as applicable) and assist clients in menu selection so that their minimum contracted food and beverage obligations are met and/or exceeded
  • Create floor plans for wedding, corporate and social events, as well as reviewing client's floor plan for accuracy and calculating of seated guests
  • Ensuring accuracy and completeness of details in event planning software, and verify that details are reflected on the client invoice
  • Assist in the creation of the Fieldstone public events calendar
  • Assist with event finalization activities
  • Audit client files regularly to ensure accuracy and completeness

Event Execution_

  • Be present throughout the duration of the event to oversee execution
  • Assist with scheduling for events
  • Create liquor and beer orders in accordance with contracts
  • Exhibit critical thinking to pivot in response to unforeseen day of changes
  • Liaise with third parties to coordinate deliveries and pick ups
  • Provide recommendations on SOPs and standards as they pertain events service

Customer Service_

  • Enhance client experience by providing superior customer service before, during, and after the event
  • Assist in the maintenance of relationships with 3rd party vendors
  • Be available for site visits and client checkins
  • Provide training to team members on steps of service and product knowledge
  • Escalate client concerns and complaints to the Event Sales teamActively seek out new sales opportunities through coldcalling and networking
  • Support and participate in mass salesgenerating initiatives including wedding shows, event planner associations, networking events and open houses
  • Maximize revenue by upselling contracted products
  • Achieve individual sales targets and profitability goals
  • Prepare quotes within client budget maximize revenue and meet customer needs
  • Maintain a current database of potential clients and follow a regular communication cycle

Qualifications:


  • A postsecondary degree, preferably in Events or Hospitality Management
  • 12 years special events planning experience required; supervisory experience an asset
  • Strong understanding of event administration, operations, and coordination
  • Excellent customer service and communication skills
  • The drive to win as a team collaborating to achieve success is what we do here at Bench

  • Possess a fun, professional and positive attitude
  • A thirst for knowledge and a desire to constantly be learning about beer and brewing process
  • Available to work evenings, weekends, and holidays
  • Comfortable standing for 810 hours and working outdoors
  • Must be able to lift a keg and cases of beer
