Dovre Canada Limited is pleased to offer the following opportunity: HR Administrative Assistant located in Montreal


Function:

The HR Digitalization project consists of two phases. In the initial phase, the selected individual will be responsible for digitizing personnel files of current active employees.

The files, primarily in hard copy format, belong to employees with substantial seniority predating the adoption of Revver (formerly Rubex).

The subsequent phase will involve the digitalization of files for terminated employees.


Responsibilities:


  • Categorize documents within personnel files based on internal criteria
  • Save scanned documents in the appropriate folders within Revver
  • Complete a comprehensive document checklist for each scanned employee record

Additional Information:

  • The role involves digitizing personal files through a straightforward process
  • Postproject completion, conduct an audit of checklists to identify outstanding items
  • Initial focus on active employees before transitioning to terminated employees
  • Anticipated project duration: Aiming for completion by the end of Q1 202
  • Setup assistance available for someone in proximity to scanner
  • Each active employee file typically contains a maximum of four documents: onboarding, employee lifecycle, offboarding, and immigration documents
  • Preexisting folders are in place for each active employee
  • Training on Rubex and initial file processing will be provided
  • General computer experience is a plus

Notes:

  • Early project completion may result in an assessment to potentially conclude the engagement ahead of schedule

Requirements:


  • Administrative support experience is preferred
  • Proficient in scanning and saving files using Revver (training on criteria will be provided)
  • Ability to independently manage tasks and responsibilities
  • Availability to work onsite at the office Monday to Friday, eight hours a day, totaling 40 hours per week
  • Detailoriented with the ability to follow established guidelines and criteria
  • Basic computer and techsavvy skills required
