Our busy in-house marketing team is looking for a talented Marketing & Creative Services Coordinator to drive the day-to-day deadlines of the department.
As a key point of contact between the marketing team and the various internal stakeholders and business segments we serve, you are adept at in-taking new requests and are able to seamlessly and effectively traffic a variety of marketing and creative tasks to completion.
In this role, you will work collaboratively with all members of the marketing team while building strong relationships with our internal stakeholders to successfully deliver.
You will establish and track schedules for all marketing support and creative requests, plan design resources daily and weekly to ensure deliverables are met, and source and work with external vendors (as required) for needs such as print, event material, promotional items, etc.
The Marketing & Creative Services Coordinator will also manage our in-house ticketing system and marketing collaboration tool, and guide the successful naming, filing and archiving of all marketing and creative services assets.
You also understand the need for efficiency and thrive on being a well-organized, multi-tasker with strong customer service skills that can easily navigate and succeed in a fast-paced environment.
Responsibilities
- Manages the Zendesk Marketing instances as well as our task management tool, including receiving new requests, gathering details, assigning to team members, overseeing the delivery calendar, conducting QA, and gathering approvals prior to release of final materials
- In concert with Zendesk oversight, this role ensures requests are completed within timelines, works with stakeholders on ticket updates if scope increases and manages designer schedules
- Serves as the key point of contact between the marketing team and internal and external stakeholders, helping to maintain and nurture strong working relationships and maintaining excellent lines of communication on the progress of their requests
- Leads weekly marketing services production meetings, liaising closely with our Graphic Designers, Facilities Branding/Production Coordinator, and Director, Marketing Services & Communications, to assign prioritized tasks and appropriately schedule designer time
- Maintains a focus on achievement of established marketing service level agreements
- Initiates ongoing discussions to streamline workflow, implement new efficiencies and more
- Works collaboratively with members of the team to develop and maintain an asset management framework, including, file naming, file organization, revision management and archiving
- Manages and/or works closely with outside vendors to produce materials such as print collateral, promotional items, event materials, photographs (as required)
- Plays a key role in maintaining our printondemand platform to ensure that key marketing documents are available, quick to find, use and order. As well as regular assessment of outdated material, material no longer required to be made available, helping to support clinics with accessing portal, etc.
- Provides support for other marketing initiatives, activities, and projects as assigned
- Acts as a brand steward, always ensuring the materials we produce are on brand. Helps to educate internal stakeholders on brand guidelines and completes quality checks prior to any files being released to ensure they are to standard
Key Qualities & Qualifications:
- A minimum of 3 years' experience in a similar role; experience working within an inhouse Marketing team considered an asset
- Post-Secondary degree in Marketing, Advertising, Business or related specialty is preferred
- Ambitious, selfstarter attitude, with a hunger to learn, grow and challenge the status quo
- Excellent organizational skills, ability to multitask with several priorities and thrive in a fastpaced team
- A strong customer service mentality and a desire to work closely with stakeholders to help them achieve their objective
- Focus on finding the most straightforward solution, with consideration to the options available
- Strong verbal and written communication skills
- Proficient in MS office (Word/Excel/PowerPoint)
- Knowledge of Zendesk or other applicable marketing and design workflow software
Note:
This is a hybrid role, with remote and in-office work. The office is located in North York, Ontario.
