THE ROLE:


As Lease Administrator, you will report to the Manager, Lease Administration, and you will be responsible for maintaining and updating all unit and lease-related documentation, administering all units and area records, tracking critical dates and generating reports as required, and ensuring data integrity within our accounting system, J.D.

Edwards.

WHAT YOU WILL DO:
  • Review and provide interpretation of agreements and collateral documentation, including renewals, subleases, amending agreements, and estoppels.
  • Ensure accurate and timely updating of lease information in JDE.
  • Process the setup and changes to unit and area records per existing policies and procedures.
  • Complete the setup of all units and lease records for new acquisitions per existing policies and procedures.
  • Review monthly rent rolls and process billing adjustments.
  • Participate in quarterly Leasing Occupancy Forecast meetings and follow up on all action items assigned to Lease Administration.
  • Maintain the lease administration records system per internal quality standards.
  • Support FCR teams concerning leaserelated issues and respond to all lease and space information inquiries.
  • Provide analysis and support to the Property Management team on leaserelated matters (new acquisitions, redevelopments, and complex lease clauses.
  • Generate leaserelated reports as necessary.
  • Recommend enhancements or improvements to leasing information systems and document management processes/practices.
  • Participate in special projects and take on other duties as assigned.

WHAT YOU BRING:


  • Related experience in lease document administration within retail property management.
  • Paralegal Diploma, Law Clerk certification or equivalent as an asset.
  • Knowledge of various functions within property management i.e., taxation, building management, and provincial requirements.
  • Awareness of changing legislation and real estate law relating to leases and tenant relationships (e.g., Landlord and Tenant Act, BOMA guidelines, LEED).

WHAT YOU NEED TO BE SUCCESSFUL:

  • Detail-oriented and highly analytical
  • you can consider lease contents' legal, business, and financial implications.
  • Exceptional communication and interpersonal skills to effectively collaborate across all levels within and outside the organization.
  • Outstanding time management and organizational capabilities to coordinate multiple competing priorities and deadlines.
  • Strong general computer skills, including excellent knowledge of Microsoft Office Suite. Operating knowledge of J.D. Edwards accounting system is strongly desired.
  • Fully fluent in French as an asset.
