Purpose of Role


In this role, the Specialist, Legal Operations will be an integral member of a dynamic and innovative client service team comprised of lawyers, clerks, and legal support staff.

Key Responsibilities

  • The Specialist, Legal Operations is expected to maintain a high level of practice specific knowledge.
  • The key responsibilities of this role are:
Operational Excellence

Working closely with the Intellectual Property Practice Group and various key stakeholders:

  • Acts as a primary contact (with IP key client Coordinators) for the intake of new matters for the IP key client portfolio
  • Reviews and assesses each new IP key client matter and provides responsible lawyer(s) with key matter details including estimate of time commitment and urgency of matter as well as matter/client specific requirements
  • Manages the recording, docketing and coordination of all IP key client deadlines including liaising with clients/counsel and adjusters on deadlines
  • Collaborates with Law Clerks, Practice Assistants and Lawyers to manage matters and ensures deadlines are actioned
  • Develops and maintains a monitoring system for day to day communications and follow up on IP key client matters
  • Collaborates with the IP key client Lead Partner to develop workflow processes to optimize the case load management
  • Develops and generates reports of IP key client matter deadlines
  • Develops and generates reports to provide Lawyers and clients with the status of IP key client matters
  • Undertakes IP key client workflow current state reviews and develops recommendations for new workflow processes and/or efficiencies
  • Manages the creation and maintenance of IP key client precedents, procedures and playbooks


The Specialist, Legal Operations will bill their time according to the IP key client agreement and also perform other senior law clerk billable work as required.

Key Competencies

  • The key competencies of this role are:
  • A minimum of 3 years' experience with relevant Trademark experience and knowledge of the filing and prosecution of a trademark to registration
  • Minimum postsecondary education of a Law Clerk or Paralegal Diploma or equivalent
  • Excellent interpersonal and communication skills with ability to work with key stakeholders at all levels of the Firm
  • Superior organizational, data management and problem solving skills
  • Proven project and time management skills and ability to manage a variety of concurrent projects
  • Experience developing work flows an asset
  • Advanced computer skills, particularly with the Firm's preferred technologies
  • Experience with Intellectual Property Database platforms an asset
  • A team player with a strong work ethic and a desire for continuous improvement
