  • If you are a selfmotivated, enthusiastic and collaborative individual who thrives in a fun and dynamic work environment, we want to hear from you The Parks and Recreation Department is seeking an administrative professional who will excel in supporting the Director, Parks and Recreation and the Parks and Recreation management team with a variety of administrative and clerical responsibilities.     Your responsibilities include:
  • Ø Perform clerical and administrative duties for supervisor(s), including but not limited to: arranging appointments, meetings and logistics; maintaining a variety of calendars; composing correspondence, reports and information processing; and maintaining a variety of records and accounts.
  • Ø Provide confidential administrative support for supervisor(s) and management team.
  • Ø Engage orally and in writing with the public, other City staff, and members of City Council and City Committees in matters pertaining to the administrative functions of the Parks and Recreation Department.
  • Ø Ensure for preparation, printing, deadlines adherence and distribution of departmental, Council and Committee agendas, minutes and materials; and tracking for departmental action items.
  • Ø Assemble, collate, edit, format and type a variety of technical and administrative materials and other data for referral or action such as letters, notices, contracts, specifications, requisitions, progress estimates, reports, presentations, budget estimates, agendas, minutes and speaking notes.
  • Ø Enter and processes invoices, timesheet entries, work orders, purchase orders, requisitions, training and travel requests, expense claims and other materials.
  • Ø Prepare, post and maintain soft and hard copy files and records using databases and electronic file management systems and in accordance with corporate records management standards.
  • Ø Identify opportunity for and recommends and implements new and enhanced office procedures, templates and systems.
  • Ø Provide back
  • up and support to subordinate administrative office staff.
  • Ø Perform other duties as required.
    If you have the following characteristics and qualifications, we want to hear from you
- Ø Minimum 3 years of administrative experience (experience in municipal environment is considered an asset).- Ø Grade 12 supplemented by the completion of an office or business administration program, or a discipline related to the work; or an equivalent combination of training and experience as deemed suitable by the employer.- Ø Considerable knowledge of Parks & Recreation rules, regulations, policies and procedures. Ø Strong organizational and time management skills.- Ø Effective problem solving skills.- Ø Demonstrated ability to perform the work with a high level of accuracy and attention to detail and work with a high degree of independence and accountability.- Ø Demonstrated ability to build effective working relationships and to work collaboratively as part of a team.-
