We are seeking a proactive and experienced Bookkeeper to join our team.


As a Bookkeeper and a member of the Keith and Son team you will be responsible for full-cycle bookkeeping, ensuring the accurate processing and payment of accounts payable (AP), the invoicing and collection of accounts receivable (AR), preparation and filing of necessary taxation forms such as GST, posting and reconciliation of payroll payments for our sister company.

This role provides the opportunity to build and grow and to take on a variety of work.

Job Responsibilities

Responsibilities include, but are not limited to:
Full Cycle Bookkeeping
Reconciliation, oversight, posting, and management of the following, as needed:

  • Bank reconciliations
  • Corporate tax instalments
  • GST, EHT and PST (as needed) returns, both filing and payment
  • WCB returns, both filing and payment
  • All other accounts needed for the general operation of the business
Accounts Receivable

  • Process invoices to be sent to customers and followup on payments
  • Work with Project Managers (PM's) to ensure customers are billed according to the job's progress.
  • Track and reconcile expenses allocated to all "Time & Materials" jobs (T&M) and invoice to customers regularly.
  • Ensure that our processes provide PM's sufficient time to review invoices before they are received by the customers.
  • Followup with customers and work with PM's to ensure timely collection of receivables.
Accounts Payable

  • Process invoices received and review for accuracy.
  • Accurately follow and communicate accounting procedures for payments. Ensure holdbacks are tracked, communicated to vendors, and then paid out when released.
  • Research and resolve invoice discrepancies and issues and follow up with departments and vendors accordingly.
  • Collect vendor statements every month and reconcile to the invoices received and paid to date.
  • Maintain AP records and files.
  • Report on the number of invoices that were over commitment on a per PM, supplier, and job basis.
  • Daily review of credit card bank feed ensuring the follow up for receipts.
  • Payroll & Employee Expenses
  • Record expenses and allocate to job/overhead as appropriate.
  • Process and ensure that expenses are paid in line with company policy.
  • Followup with vendors for copies of receipts, as required.
  • Process payroll, Issue ROE's and T4's
Required Experience & Skills

  • 3+ years of fullcycle accounting experience; experience in the construction industry is a strong asset
  • Proactive and solutionoriented
  • Strong communication skills both written and verbal
  • Strong organizational skills with the ability to meet all processing deadlines
  • Strong accuracy and attention to details
  • Strong data entry and processing skills
  • Strong Competency in Microsoft Office (especially Excel)
  • Strong experience with QuickBooks Online accounting software and an ability to learn new software quickly
  • Flexible and adaptable to take on a variety of work
