Description
Representing the Office of the CEO in a professional, customer focused manner

  • Effectively managing the CEO's schedule, including foreseeing conflicts and using considerable judgement and diplomacy to reschedule appointments according to demanding priorities
  • Providing general office administrative support including managing office supplies, processing invoices, and assisting with governance documentation
  • Creating, gathering and proofreading documents
  • Assisting the CEO and CDO with various special projects (i.e. team building and donor events)
  • Enter donor, meeting and other information into donor database, Raisers Edge to support the work of the CEO and CDO
  • Providing general administrative support for CDO as needed
  • Pick up and distribute mail on a biweekly schedule

Board & Governance:

  • Working with the CEO in organizing meetings including: drafting agendas; arranging meeting rooms and catering; advising attendees of meeting time and location; distributing meeting materials; arranging for appropriate audiovisual and other equipment; attending meetings, recording and preparing meeting minutes
  • Serving as the primary contact and support for the Board of Directors and its standing Committees: Governance & Nominations, Investment, Audit & Finance, Executive Performance Review
  • Attending all quarterly Board and Committee meetings and acting as Recording Secretary
  • Organizing orientation for new Board members including updating the orientation information, materials, scheduling tours, etc.

Campaign Donor Management for CEO and CDO:

  • Manage the preparation and outcomes of prospect and donor meetings
  • Outreach to donors to schedule meetings, obtain donation payment information, etc.
  • Outreach to Hospital colleagues, as relevant, to confirm logistics of tours and meetings
  • Work with Foundation colleagues to manage timelines and follow up on proposals, reports and gift agreements
  • Meeting preparation and logistics, including room booking/virtual room booking, package preparation, meeting briefs, catering as needed

Major Gift Team Support:

  • Manage the maintenance of the Major Gift team's donor portfolio
  • Actively participate in Major Gift team meetings, as well as MGrelated events (i.e. solicitation, stewardship, and cultivation events)
  • Entering data into Raisers Edge for pipeline and prospect management
  • Assisting with logistics and coordination of Major Gift donor events (i.e. catering, décor, invitations, etc.)
  • Attends and assists at Foundation Events when needed (i.e. golf tournaments, gala, etc.)

Job Requirements:

  • College Diploma or a combination of relevant experience
  • A minimum of 5 years' experience providing senior level strategic and administrative support
  • Experience working within a charitable/notforprofit organization preferred, health care notforprofit experience is considered an asset
  • Advanced proficiency with the Microsoft Office programs such as Outlook, Word, Excel and PowerPoint
  • Experience with CRM database systems such as Raiser's Edge is considered an asset
  • Demonstrated experience with managing a tracking system/process for prompting activity (your own or others)
  • Demonstrated experience with inputting data into and seeking data from a CRM database
  • Organizational skills sufficient to independently establish priorities and use sound judgment in carrying out multiple assignments in a timely manner, oftentimes with mínimal supervision
  • Knowledge of and adherence to fund raising professional standards and ethics
  • Understanding of the Donor Bill of Rights
  • Familiar with CRA guidelines regarding charitable tax receipting and a commitment to stay current on changes to guidelines and regulations
  • Understanding of Major Gift operations and business practices
  • A commitment to timely and appropriate customer service, rooted in initiative and tact, and experience interacting with influential community and business leaders
  • Experience with independently organizing meetings and setting priorities
  • Excellent organizational and administrative skills with an attention to details
  • Excellent written and verbal communication skills
  • Highly adaptable and able to prioritize and work comfortably in a fastpaced environment
  • Professional maturity and ability to manage confidential information and exercise good judgement
  • Unquestionable integrity, sense of judgement, and absolute discretion with confidential and sensitive information
  • High level of professionalism and a positive attitude
  • Demonstrated commitment to continued professional and personal growth and development through continuing education programs and selfdirected learning opportunities
  • Valid Class G Driver's License or access to reliable transportation
  • Bilingual (English and French) an asset
