  • As the Programs Assistant, you will support the coordination of Continuing Studies (CS) programs by providing administrative support for all aspects of program planning, communications, implementation, and review of current and new Continuing Studies programs. This position serves a key role in supporting activities related to teaching and learning, and facilitates a seamless experience for students, instructors, and staff.

Some Typical Duties:


  • Tracks, monitors, and processes parttime certificate student progress and completion; receives and processes related requests.
  • Researches and compiles program planning information as requested by CS leadership.
  • Collects, organizes and distributes program information and teaching and learning resources to students and instructors.
  • Updates and formats program and policy documents, including website updates.
  • Responds to programrelated inquiries from students and instructors, in consultation with CS leadership.
  • Supports program staff by scheduling meetings, events, and information sessions.
  • Tracks marketing calendar and facilitates delivery of program information to marketing by deadline.
  • Monitors course schedule and assists with course notifications to students and instructors as needed.
  • Tracks the receipt of student grade and assessment forms and coordinates distribution back to students. Maintains accurate filing of grade and assessment sheets.
  • Supports instructors with course grade entry and inputs course grades into Colleague for Continuing Studies programs.
  • Formats, receives, tracks, and prepares summary documentation of student course evaluation forms for CS leadership.
  • Assists with the production of instructor contracts, cover letters, and informational materials for signature and mailing.
  • Formats course outlines, and class lists for distribution to instructors each semester.
  • Updates and supports communication with Continuing Studies alumni.
  • Performs other related duties as required.

Required Qualifications

  • Grade 12 plus a minimum of one year business office training.
  • Minimum three years' experience in an office setting, preferably in a postsecondary setting.
  • Or an equivalent combination of education and experience.
  • Some knowledge of art education and the BC system of advanced education, public training institutions and continuing or adult education.
  • Office administration skills with considerable knowledge of office procedures and systems.
  • Solid knowledge of Word, Windows, Access, Excel, student records database systems (preferably Colleague), including proven skills in creating complex spreadsheets.
  • Accuracy and attention to detail.
  • Sound judgement and ability to observe confidentiality guidelines.
  • Ability to work independently, set priorities, work effectively under pressure, handle continuous workflow with minimum supervision, and demonstrate initiative.
  • Ability to communicate effectively with students, staff, faculty, and public is essential.
  • Excellent verbal and written communication skills.
