The Department of Surgery is currently looking for a
full-time, temporary Administrative Assistant, Human Resources within the division The Department of Surgery.

Reporting to the Manager of Human Resources, the Administrative Assistant will provide administrative support to facilitate the effective delivery of human resources services to the Department of Surgery including academic coordination.

The Administrative Assistant will also provide general planning and coordination support to the People and Culture portfolio for the EPIC Surgeon training program, taking direction from the Research and Wellness Program Manager/ Communications Advisor in the Department of Surgery.

Human Resources Support

  • Onboarding: Support the HR Assistant and HR Advisor with all aspects of employee onboarding to ensure a smooth transition into the organization.
  • Employee Record and Database management: Maintain employee records, database and filing systems including file setup, data entry, data validation, and archiving.
  • Benefits administration: Assist with benefits enrollment and update records accordingly.
  • Training and development: Assist in coordination of the training and development program, including scheduling sessions.
  • HR projects: Assist in organizing HRrelated projects and initiatives, such as employee engagement surveys, employee retreats, and recognition program to name a few.

  • Create, or assist with creation, of forms and templates for various initiatives.
Academic Support & Coordination

  • Support the HR Assistant and HR Advisor in preparing academic appointments and renewals for surgeon faculty members with the University of Ottawa
People and Culture Coordination and Planning

  • Execute logístical activities related to the delivery of the EPIC training programs for surgeons and/or administrative staff, including but not limited to courses, workshops, training, and events, while ensuring smooth and efficient operations and an exceptional client experience.
  • Coordinate arrangements for meetings and other events scheduling, preparing, and distributing invites, completing registration, booking rooms, arranging for equipment and catering.
  • Coordinate, collect, assemble, upload, and provide agenda and information packages reports, research, files and background materials as necessary.

Qualifications & Experience

  • A community college diploma in office administration and 23 years of relevant experience. Experience working in a human resources environment is an asset. An equivalent combination of education and experience may also be considered.
  • Experience in planning and execution of organizational events
  • Ability to meet changing needs and competing priorities and is willing to adapt to different situations.
  • Sound problemsolving and conflict resolution skills.
  • Excellent interpersonal skills and ability to interact easily with individuals at all levels of the organization.
  • Strong attention to detail
  • Excellent organizational and time management skills, with an ability to think proactively and the ability to communicate clearly, concisely, and persuasively.
  • Experience in exercising discretion and confidentiality with sensitive information.
  • Demonstrates initiative and uses good judgment skills.
  • Demonstrates a commitment to client service, and an ability to work independently with mínimal supervision.

Job Types:
Full-time, Fixed term contract


Salary:
$24.00-$26.50 per hour


Schedule:

  • 8 hour shift
  • Monday to Friday
