A day in the life as a Coordinator:

  • Send/receive, log, sort, distribute daily mail/deliveries/couriers (requires occasional in-person visit to post office)
  • Booking catering facilities organizing lunches and liaising with catering providers
  • Assist with meeting room setup/cleanup, including catering and training materials (sometimes requires overtime early arrival or late departure)
  • Update and monitor meeting room calendars
  • Meeting room and Kitchen upkeep
  • Monitor and maintain supply room and office stationery inventory
  • Coordinate repair and maintenance of office equipment and premises maintenance requests
  • Maintain security by following protocols and controlling access (issue visitor and new hires access cards)
  • Perform general clerical duties such as scanning, photocopying, collating, faxing etc.
  • Assist with basic finance related tasks such as, but not limited to, creating purchase orders, scanning cheques and bank deposits (onsite and externally)
  • Provide administrative support to onsite/offsite Richter team members
  • Assist with coordination and implementation of firm/team events
  • Assist with employee onboarding/offboarding as well as internal office moves
  • Other administrative duties as assigned

Reception backup (daily + absence coverage):

  • Welcome visitors by greeting, directing, offering refreshments, and announcing them professionally
  • Screen and forward incoming phone calls (and faxes), providing basic information when needed

About you:


  • 13 years of proven working experience in similar roles, preferably in professional services environment
  • Solid communication skills both written and verbal
  • College diploma in Business Administration or an equivalent combination of education/experience
  • High attention to detail and organizational skills
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize, and work under pressure
  • Flexible and adaptable; ability to work overtime during peak periods
  • Extensive knowledge of Microsoft Office Suite (Word, PowerPoint, Excel and Outlook) and strong aptitude for learning computer programs.
