The South Shore Regional Centre for Education (SSRCE) practices the culturally responsive pedagogy approach in providing an inclusive, diverse, equitable, safe and healthy education that supports learning and success both personally and academically to the 59,000 residents of Lunenburg and Queens Counties, an area of 5,250 square kilometres and a total of 23 schools.

Qualifications:


  • Completion of an administrative assistant program from an accredited institution
  • Effective communication and interpersonal skills

Provides clerical support to school administration and Coordinator of Programs


For example:

  • Exporting data and sending file to Department of Education, as required.
  • Arranging teacher/student interviews, reviewing credits and sending request to NSSAL for credit equating, if required.
  • Compiling new student data for registration in Virtual School, as required and notifying Coordinator of Programs.
  • Communicating with and preparing correspondence for outside agencies (i.e. letters of enrollment, status and attendance updates and transcripts, etc).
  • Assisting in preparation for graduation (i.e. report cards, transcripts, diplomas and ceremony preparation, etc) in collaboration with school administration.
  • Creating purchase orders and distributing supplies and materials, maintaining inventory, book orders.
  • Submitting maintenance and technology work requests electronically.
  • Receiving, reconciling and delivering Provincial Exams and JLA's in coordination with the Assessment Coordinator.
  • Assisting with budget tracking and accounts for Adult High Schools, Alternate High Schools.
  • Traveling to meetings and other work sites as required. (NSCC, MBAS, etc).
  • Assisting with other general office duties i.e. typing correspondence, faxing and distributing of information/materials, telephone answering, meeting notes, and other duties as assigned.
  • Approving Teacher Absences in AESOP and reconciling substitute teacher replacements.
  • Provides accounting functions for school

For example:

  • Complying with all aspects of Policy #450, School Based Funds.
  • Ensuring all school accounts are recorded on on a timely basis and recorded in a format acceptable for reporting purposes.
  • Preparing reports for school funds, for fiscal year end, as required.
  • Providing HST information where required.
  • Reconciling and completing monthly school financial reports (bank statements, HST Claims, etc.)
  • Completing Year End rollover procedures in
  • Preparing school audit documents and responding to written recommendations.
  • Ensuring all cash receipts (and accounts receivable, if applicable) are collected/deposited on a current and timely basis.
  • Ensuring bank reconciliations are completed, in a timely manner, on each school account with a particular emphasis on all school accounts reconciled as of April 15 of each fiscal year to meet reporting audit deadlines.
  • Keeping up to date on training


Communicating effectively with all stakeholders and partners in Education, including the Coordinator of Programs and Assessment, Principal of the School and Regional Staff.

Following due diligence in reporting and seeking approval for decisions related to programming that exceed the authority outlined above


For example:
meetings with stakeholders, reporting, communication with the Department of Education, Financial expenditures.

Complies with the Occupational Safety Act and Regulations.

Performs other related duties as required.
