(35 hours per week, January 4, 2023 to January 31, 2023)


Job Summary:

The Program Assistant (PA) provides frontline support services to Active Career Advance & Engagement Project (ACCEP). The PA also provides support to the program team. This position will also be required to attend special events in-person.


Key Duties and Responsibilities:


  • Conducts communication duties including: responding to incoming correspondences, providing basic program information, checking program eligibility, and connecting clients and employers with team members
  • Develops, organizes, and maintains the program filing system, including client files, bookkeeping records, reports, and lists
  • Prepares and updates marketing/promotion materials, such as brochures banners and websites
  • Assists in program marketing and promotional activities
  • Communicates with clients on requests from the program or from the agency (e.g. additional forms and surveys, event invitations)
  • Compiles project statistics and aggregates data
  • Assists the team to prepare monthly, quarterly, and annual reports
  • Prepares logistics for program activities including workshops and events
  • Handles incoming invoices and processes payments
  • Assists the Program Manager in reconciling monthly, quarterly, and annual financial statements
  • Prepares minutes of staff meetings and communicates information across the team
  • Performs other related duties as assigned by the Program Manager

Education, Training and Experience:


  • Post-Secondary education in Accounting/Finance, Business or related fields
  • Minimum 1 year experience in the nonprofit sector is an asset
  • Experience with bookkeeping is an asset
  • Experience in program marketing and promotion
  • Experience in working with immigrants, newcomers, and refugees is an asset
  • Experience in working with Internationally Trained Professionals (ITPs) is an asset
  • Experience with a diverse clientele and immigrant related services is an asset
