RECEPTIONIST

Short term contract 60 days with strong possibility of extension

PURPOSE OF POSITION:

To provide professional reception services in support of the efficient and effective administration of the Agency.


DUTIES and MAJOR RESPONSIBILITIES:


  • Maintain responsibility for projecting a positive, professional image to the community as the first point of contact with the Agency.
  • Provide telephone coverage during regular business hours by receiving all incoming calls to reception in a professional manner and promptly screening the call to ensure they are directed to the appropriate agency staff.
  • Responsible for posting outgoing mail as well as arranging for courier services as requested.
  • Process all incoming mail and deliveries.
  • Ensure visitors are signed in/out and receive the appropriate visitor badge.
  • Ensure various servicerelated documents are available for staff to pick up as required.
  • Verify incoming faxes and distribute them accordingly.
  • Respond in a professional manner to all incoming clients, community professionals, foster parents, volunteers, etc. and promptly notifies appropriate agency staff of their arrival, or redirections to backup staff.
  • Assist staff with the booking of workspaces, meeting rooms and access rooms as requested.
  • Ensure the reception area and lobby are tidy and welcoming.
  • Assist Administrative Assistants and other staff with clerical duties as requested.
  • Ensure the front doors are unlocked during regular business hours.
  • Ensure the daily contact tracing log for staff and visitors entering the office is completed and up to date.
  • Monitor and replenish PPE stock in all offices, ensuring an uptodate inventory is maintained to ensure adequate supply is available.
  • Track car seats signed out by staff and volunteers and follow up as necessary.
  • Maintain supply rooms in various offices. Placing orders for office supplies as required.
  • Perform other related duties as assigned.

REQUIRED KNOWLEDGE:


  • Pleasant, professional, and effective reception and telephone manner.
  • Good clerical and computer skills.
  • Good organizational, interpersonal and communication skills.
  • Ability to take and relay messages accurately.
  • Ability to maintain effective communications and working relationships demonstrating strong interpersonal skills, tack, sensitivity, and diplomacy.
  • Ability to collaborate effectively with peers, community partners and other professionals.
  • Ability to work well under work and environmental pressure

EDUCATION and EXPERIENCE

  • Completion of Grade 12 Certificate, and two to three years' related office experience, including reception duties
  • Bilingualism in French would be considered an asset

PAY GRADE: 2 ($44, $55,096.01)


HOURS OF WORK: 33.75 Hours per week


Employment at York Region Children's Aid Society is conditional upon the verification of credentials, a satisfactory vulnerable sector check, proof of COVID-19 vaccination (2 doses required), as per YRCAS Mandatory COVID-19 Immunization Policy.
