Human Resources Assistant - Labour Relations


DEPARTMENT:

CONDITIONS:

Temporary Full-time for approximately seventeen (17) months


HOURS:

Approximately 75.0 Bi-weekly Hours

RESPONSIBILITIES:


  • Reporting to the Manager of Labour Relations, the HR Assistant
  • Labour Relations provides administrative and clerical support related to the Hospital's Labour Relations.
  • Additionally, the incumbent will act as a support resource providing regular coverage at the HR Helpdesk.
  • Support in the effective operations of the Labour Relations function of the Hospital, including but not limited to: sick leave tracking, generating Union reports, tracking grievances, taking minutes at meetings, and other Employee Relations activities
  • Responsible for file management including organizing documents, record management (electronic and hard copy), and document database management
  • Perform administrative tasks, track deadlines in regard to processing of grievances to arbitration and settlements
  • Effectively retrieve data from the Human Resource Information System (HRIS) and other sources to create and maintain datasets and reports using Excel; providing general analysis to the LR team.
  • Type/prepare standard correspondence, specialized and mass distribution letters, memoranda, forms, nominations, posters, power point presentations, and other general typing work as directed.
  • Calendar Management for the Labour Relations team, including coordinating, scheduling, and maintaining meetings, confirming all stakeholder's attendance
  • Triage employee queries, concerns and requests; respond where appropriate and direct employees and management to the appropriate team member
  • Ability to deal with difficult (and all) situations in an empathetic, calm, and courteous manner
  • Enter and retrieve employee data from the Human Resource Information System (HRIS)
  • Investigate and respond to inquiries from staff, Management and outside agencies in a courteous and confident manner
  • Develops and maintain effective working relationships with Human Resources and internal stakeholders.
  • Data entry, filing, file preparation, photocopying, faxing, scanning, as required
  • Acts as a backup for the Helpdesk Administrator as required

REQUIREMENTS:


  • Diploma / Certificate in Human Resources Management from a community college or a minimum of 3 years of Human Resources experience in a unionized environment.
  • Or a combination of related post secondary education (Business or Office Administration, etc.) and experience
  • Demonstrated effective interpersonal, facilitation, conflict resolution, collaboration, and communication skills
  • High level of proficiency with Microsoft Office products (Excel, Word, PowerPoint, and Outlook)

PREFERRED:


  • A CHRP designation or in progress
  • Experience with an HRIS
