Administrative Assistant, Residential (Contract)
Purpose of the role:
The Administrative Assistant, Residential will provide support to the Residential and Construction teams by keeping documents, files and reports up-to-date and accurate.
In this role, you will be responsible for all aspects of office administration and reception duties with respect to; receiving all incoming calls to the management office.
You will also ensure that information is communicated clearly and concisely to the various internal and external stakeholders. Success in this role requires strong attention to detail, organization, communication and time management skills.Reporting Relationship:
This role reports directly to the Senior Property & Capital Projects Manager
Key Accountabilities:
- Greeting all walkins and provide exceptional customer service to internal and external stakeholders;
- Actively listen and act upon inquiries, concerns and complaints. Escalate issues as required to the Senior Property & Capital Projects Manager or his designate.
- Assisting the Senior Property & Capital Projects Manager with their daytoday duties
- Coordinate meetings with tenants, Resident Managers, Property Administrators and Maintenance staff;
- Assist with the collection of rents;
- Communicate, direct and schedule with Maintenance staff, security, and all other trades and contractors;
- Assist with all marketing initiatives
- Assist the Leasing Specialist(s) and Property Administrators in preparation of all necessary paperwork surrounding leasing, lease addendums, parking etc. as required;
- Take initiative to improve existing processes or procedures, or propose alternate solutions;
- Any other administrative duties assigned from time to time by the Employer.
Expertise & Experience:
- Undergraduate Degree/ College Diploma in a Related Discipline.
- A minimum of 12 years of administrative experience.
- Strong computer skills: excellent knowledge of MS Office Suite (Word, Excel, PowerPoint and Microsoft Outlook) and able to learn Yardi
- Excellent communication skills.
- Professional and customer focused.
- Solutions driven and selfmotivated
- Motivated to learn more and grow within this position.
Other Mandatory Requirements:
- Must have a reliable vehicle and maintain a valid drivers license
- Fully vaccinated against COVID19
