General Accountability:


  • Provides administrative and secretarial support and efficient and effective administrative and office support services for the office/Department. The role may carry out/coordinate special assignments and tasks as directed and provide guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies.

Key Job Functions:


  • Providing direct administrative support to the Project Director and project team, and ensuring that efficient and effective administrative office support services are maintained;
  • Planning and coordinating the daily activities and meeting schedule of Project Director's office and project team
  • Participating in meetings, preparing and distributing meeting agenda and minutes, as required
  • Coordinating the preparation of responses to internal and external communication requests
  • Researching and compiling information on requested matters and preparing a variety of correspondence, reports, and other materials
  • Investigating and expediting various matters for the Project Director, including queries from senior management and Commissioner's offices, followups, etc.;
  • Tracking, coordinating and monitoring departmental activities/issues, projects and priorities, and providing updates of same
  • Providing guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies
  • Assisting with the preparation of the department's budget which involves compiling budget data for reports and presentations
  • Carrying out special assignments as directed
  • Responsible for treating passengers and employees with respect and dignity and ensuring the needs of those with disabilities are accommodated and/or addressed in accordance with the Ontario Human Rights Code and Related Orders so that they can fully benefit from the TTC as a serviceprovider and employer; and
  • Participation in the TTC Customer Service Ambassador Program

    Education and Experience:
  • Sound knowledge of business administration concepts and practices combined with a sound knowledge of modern office methods, procedures, practices and equipment as well as research methods and techniques
  • Sound judgement, excellent organizational, interpersonal, oral and written communication skills (grammar, punctuation and spelling)
  • Ability to handle several responsibilities at once, under mínimal supervision, and coordinate activities of others to accomplish objectives and meet deadlines
  • Must have or rapidly acquire a thorough knowledge of departmental and TTC operations, organizational structure and functions as well as policies and procedures applicable to the work performed
  • Completion of a University Degree, or College Diploma in a related discipline (Office Administration), and related office administrative experience, OR a combination of education, training, and experience deemed to be equivalent
  • Must have, or rapidly acquire, a comprehensive knowledge of the Ontario Human Rights Code and Related Orders, including disability accommodation and accessibility requirements pertaining to passengers and employeesThe TTC's policy prohibits relatives of current TTC employees from being hired, assigned, transferred or promoted into positions, where there is a conflict of interest due to a relationship.
