By joining the Global Strategic Sourcing "GSS" Indirect Procurement department, you will have the opportunity to support the execution of sourcing strategies, process improvements and participate in exciting projects.


This is a contributor role where you will be working with Category and Vendor Managers "CVM" and Procurement Analysts to execute a variety of IT and Corporate Services categories.

The IT and Digital Sourcing team supports IT Architecture, Infrastructure, Cybersecurity, Artificial Intelligence and Internal Journey, and the team is divided into three towers:
Software, IT Services and IT Infrastructure. On the other hand, Corporate Services team supports Marketing, Communications, HR, Legal and Finance among many others.


Key Responsibilities

  • Coordinate tactical IT renewals and purchases in liaison with the Category & Vendor Manager "CVM", IT Procurement Analyst, and the IT Asset Management "ITAM" Team.

This task involves the following:

  • Review pipeline of upcoming IT renewals and purchases with the CVM, M&A Team and ITAM and identify the IT renewals and purchases that are inscope for the Procurement Coordinator.
  • Check (in Ariba Source to Contract module) whether there is an existing Master Agreement with the vendor to accommodate the renewal and/or purchase. If not, advise ITAM and GSS Buyer on the appropriate course of action. This may include proceeding with the renewal and/or purchase based on a quote and CAE PO Ts and Cs.
  • For inscope renewals and/or purchases with annual value less than 100K$, obtain quotes from vendors, challenge pricing, payment terms and Ts and Cs, as appropriate. Leverage volume increases to improve unit pricing.
  • When relevant, work with CVM to assess the strategy for inscope upcoming renewals (length of agreements, exit strategies).
  • Upload contracts, order forms and relevant documentation to Ariba, as appropriate.
  • The Procurement Coordinator will act as an extended arm of the CVMs in support of the following activities
    :Internal

Customer Service:
Intake process management and triage: Non-Disclosure Agreement.

  • For Proforma SOWs, validate that the SOW is part of the CVMapproved list and ensure that the rates are in line with the prenegotiated rate card.
  • Create an Ariba Contract Workspace, if applicable.
  • Provide stakeholders with the right SOW template (locked) as part of the SOW selfserve process.
  • Scan through the SOW redlines as populated by the vendor and the CAE internal stakeholder to ensure there is no deviation from the proforma SOW template and that no legal Terms and Conditions were introduced, as per guidance from the CVM.
  • Clean up the redlines shown in trackchanges mode and circulate the SOW for signatures via Ariba.
  • Update and publish the Ariba Workspace as appropriate.
  • Share a copy of signed SOW with the stakeholder in support of Purchase Requisition creation and conversion into a Purchase Order by the GSS Buyer.
  • Flag to the CVM any deviations from the established Proforma SOW process.
  • Ariba Contract Workspace creation.
  • Diploma of College Studies in Administration, Undergraduate or Bachelor's degree.
  • Good MS Office skills.
  • 1 year of experience in procurement is a plus.
  • Foundational knowledge of the P2P process is a plus.
  • Basic knowledge of project management, including the ability to communicate status, schedules, deviations, risks and issues in an effective manner.
  • Good communication (written and verbal) and facilitation skills.
  • Strong analytical and problemsolving skills and ability to prioritize multiple projects and tasks.
  • Agility, creativity, and transformative mindset.
  • Independent discretion and judgment. Can work independently.
  • Excellent interpersonal skills and demonstrated ability to work effectively within team.
  • Desire to learn.
  • Minimum knowledge of basic contract concepts and principles is a plus.
