Coordinator, Legal Support Services to join its team.

  • In this role you will be responsible for providing coordination of and managing all administrative support activities for the Legal Support Services team

Requirements:

    Duties & Responsibilities:
Serve as the central coordinator with Legal Support Services and firm members
Work with the Director, Legal Support Services and Manager, Legal Assistants to design and run department meetings
Manage follow-up process to ensure any necessary follow-up communications are drafted and delivered in a timely manner.
Ensure any action items coming out of meetings are tracked, delegated (when appropriate) and completed in a timely manner.
Participate in group meetings to help implement strategic priorities and take minutes
Prepare and revise presentations, memos, instruction materials and other types of documents as needed
Prepare and generate reports such as ACL reports, account reconciliation reports, monthly spreadsheets, status reports and other ad hoc reports as needed
Schedule and coordinate logistics of meetings and team events, including booking boardrooms arranging for catering, technical needs, etc.
Assistance with the Director, Legal Support Services' calendar


Other Duties and Responsibilities
Support Director of Legal Support Services in curation and formatting of materials for projects and presentations
Documenting, logging and tracking responses from staff to feedback requests generated by the legal support team
Assists with or manages special projects and change management process.

Supports the Director, Legal Support Services and Manager, Legal Assistants in dealing with confidential or sensitive personnel or other organizational matters.

Other duties as assigned


Education & Experience:

3+ years of experience as a Litigation Legal Assistant and/or legal support professional.
Post-secondary education in a Legal Assistant/Administration program, or equivalent.

KEY SKILLS & CHARACTERISTICS

Excellent organizational skills; flexible and able to multi-task, with demonstrated resourcefulness in setting and achieving priorities.
Strong verbal and written communication skills; ability to effectively present and execute on ideas. Outstanding grammar and proofreading skills.
Strong sense of accountability, integrity and ability to handle highly visible responsibilities. Demonstrated ability to take initiative, act independently and direct one's own work.
Ability to work collaboratively and build effective relationships at all levels of the firm. Trustworthy and discrete with the ability to handle highly confidential information and topics. Process-oriented, highly organized, and excellent attention to detail.
Ability to collaborate and influence others to achieve high quality results in a timely manner. Can do attitude with a hands-on approach to managing challenges, setbacks and complexity. Advanced use of Microsoft Suite, including Excel, PowerPoint and Outlook.
