The British Columbia Society for the Prevention of Cruelty to Animals (BC SPCA) is looking to fill the following career opportunity:


POSITION:
Outreach Assistant - Safekeepers Program


STATUS:
Temporary; Part-Time


SHIFT: 14 hours per week - 2 days a week (flexible which days Monday-Friday), 8:30 am

About the Position:


Reporting directly to the Outreach Specialist - Special Projects, the Outreach Assistant - Safekeepers Program, supports the operation of Safekeepers Program by coordinating with volunteers, clients, and BC SPCA Community Animal Centres (CACs) to support the intake, foster process and cycle of care for Safekeepers Program animals, and performing related administrative functions.


Some specific duties:


Safekeepers Animal Intakes:

Creates a welcoming and a safe environment for clients and volunteers alike.
Follows program protocols for intaking clients and providing program information, in collaboration with the Outreach Specialist.
Uses Better Impact to send foster call outs for approved program animals and selects the best fit from list of approved fosters, based on provided information
Uses AdobeSign to send and receive foster and client contracts prior to animal drop offs.
Liaises with Animal Centre staff and managers, clients, and fosters to schedule drop offs and pick ups.
Maintains up to date tracking on program requests, expenses, volunteer training, and foster placements.


Foster Support Duties:

Completes training on Better Impact volunteer management system and uses the system for all foster-related activities.
Coordinates and collaborates with Volunteer Resources team to streamline recruitment and training of volunteers.
Collaborates with Volunteer Resources and Managers of Animal Centres in the screening of Safekeeper Program foster volunteers.
Seeks alignment between foster volunteer applicants and program values and requirements.

Ensures all animals are up to date on vaccines by pulling vaccine reports from ShelterBuddy and, where necessary, scheduling appointments with fosters and Centre staff to have required vaccinations completed.

Supports fosters by scheduling vet visits, grooming appointments, and training sessions as needed, processing receipts, and supporting a successful foster period for pet and person.

Liaises with the Animal Help Line to ensure timely response to inquiries and ensure Help Line staff have up to date program information.


Client Duties:

Supports clients with a trauma-informed communication style informed by program best practices and training.
Provides referrals to additional resources as needed.

Outreach Support

Participates in regular Outreach team meetings.
Contributes to team learning.
Collaborates with Outreach team members to ensure opportunities to amplify work.
Performs other duties as required.


Qualifications you need to have:

Post-secondary training in a relevant field, plus 3 years' experience working with people; or an equivalent combination of education and experience acceptable to the employer
Training and experience in social work, volunteer coordination, and/or animal welfare are considered to be assets
Knowledge of privacy legislation within British Columbia and demonstrated ability to exercise a high level of professionalism and discretion with confidential and sensitive information
Ability to work independently and also collaborate with others in a productive way
Demonstrated ability to follow established policies and procedures
Excellent communication, organizational and time management skills
Ability to foster and maintain relationships with internal and external stakeholders
A positive attitude and an empathetic and respectful approach to customer service for a diverse audience
Computer Skills - Windows, MS Office Excel; experience with volunteer management software is considered an asset
Philosophical harmony with BC SPCA policies, programs, protocols and strategic directions
