Under the direction and supervision of the executive director, the student associations coordinator organizes resources and support for student associations organized within academic divisions at Capilano University.

While the student associations coordinator will work closely with student associations' leaders on a day-to-day basis, they ultimately share a reporting relationship with the executive director.


Duties
In particular, the student associations coordinator performs the following duties:

Resource for Student Associations (45%)

  • Act as the primary contact, resource, and support person for student associations organized within academic divisions at Capilano University.
  • Organize orientation and training sessions for student associations' leaders throughout the year to ensure that they have the information and skills needed to provide leadership to their associations and to access association resources.
  • Maintain strong working relationships with student associations' leaders.
  • Advise and assist student associations in accessing resources, support, and funds, including by assisting student leaders in navigating funding proposals, and assisting student leaders throughout the approval process.
  • Develop and maintain uptodate information about student associations' structures and contact details, and act as a resource to the staff, board, student executives, and board committees on their work with the student associations.

Student Association Operations (45%)

  • Working closely with student associations' leaders and the vicepresident finance and services, provides coordination and resources to help student associations' leaders navigate the development and approval of annual activity budgets.
  • Processes logístical requests from student associations such as space and equipment bookings, purchasing, contract approvals, catering requests, and conference travel and accommodation bookings.
  • Working closely with the communications team, supports the development and execution of communications and outreach activities to promote student associations' activities and the resources that we provide for student groups.
  • Supports the planning and execution of student associations' events, campaigns, and activities with resources, logístical assistance, navigating approvals, and ensuring adequate people support on the day of the event.
  • Attend and resource student associations' council and other student leadership meetings as assigned, and provide administrative support (such as preparing agendas, taking minutes, and taking care of meeting logistics).

Other Duties (10%)

  • Acts as a resource and support person for assigned board, executive, and committee meetings, and acts as administrative lead and principal resourceperson for assigned board committees.
  • Participates in the training and development of student leaders and staff.
  • Supervises support staff when working within their areas of responsibility.
  • Works safely, in accordance with the CSU's health and safety policy.
  • Protects the personal information of coworkers, students, and the public.
  • Performs other duties as assigned by the executive director.
