About the Opportunity:


Reporting to the Health Services Manager, the incumbent plays a key role in assisting in planning, coordinating, implementing and evaluating clerical activities and clinic flow with Dalhousie Family Medicine.

The incumbent provides day to day administrative support to the Manager(s), ensuring optimal time management.

Oversee the day-to-day activities of clerical support staff by ensuring appropriate distribution of workload to efficiency and effectively meet needs; scheduling and rearranging resources during periods of staff absence; maintaining accurate timesheets and payroll information; orientation of support staff and ensuring collaborative teamwork.

The incumbent is responsible for processing and requisitions for supplies and services for Primary Health Care, maintaining records of same and ensuring cost effective utilization of clinic resources.

The incumbent is also responsible for working with the Manager(s) to ensure appropriate collections of relevant statistical and other data related to clinical activities to address issues of evidence-based decision support.

Ability to effectively work though difficult scheduling of patients and staffing resources to support the needs of the clinic and in collaboration with the other site Team Lead.

Will provide coverage to the other DFM Spryfield site as required during absences of the site specific Tead Lead.

About You:

We would love to hear from you if you have the following:

  • Grade XII plus completion of a one year secretarial diploma or equivalent
  • A minimum of three years' experience in a leadership role required
  • Experience working primary health care or family practice an asset
  • Completion of medical terminology course is an asset
  • Minimum typing speed of 60 wpm is an asset
  • Experience in unionized environment preferred
  • Current knowledge of concepts/trends in office management
  • Above average coordination, organization, multitasking and decisionmaking abilities required
  • Excellent communicator with highly developed interpersonal skills
  • Complex scheduling experience is an asset
  • Above average ability to work collaboratively with support staff and management team
  • Competencies in other languages an asset, French preferred

Hours:


  • Permanent Fulltime position; 70 hours biweekly
  • Shifts may include evenings, weekends and holidays

Compensation and Incentives:

$ $31.14 Hourly
