The main purpose of this position is to provide attendee management and logĂstical support to the development and delivery of our Meetings, Events, and Incentive Travel business.

A typical day in this role might include:
- Managing all attendee requirements, including the development of the registration website, the management of all attendee lists and the communication with attendees on an individual basis
- Attend, participate and manage onsite client meetings and communications as required
- Assisting the Event Managers with the development and delivery of meetings, events, and incentive travel programs, including communications with suppliers, logistics and air travel agencies
- Travel (0% 40%) will be required includes local, regional, and international
- Gather and disseminate information to relevant stakeholders i.e., contact reports, timelines, commitments, etc.
- Assist with site inspection logistics
- Confirm onsite event staffing requirements; coordinate & finalize onsite workroom requirements
- Lead quality control of participant information and registrations
- Provide onsite assistance with delivery of event as required
- Assist with the postevent reconciliation including verification of final supplier billings
- Participate in additional tasks as required
- 13 years proven experience in event, incentive travel or project management environment
- Proven ability to meet deadlines and ability to handle multiple projects simultaneously
- Onsite event operations experience
- Knowledge of event venues across Canada, US, and willingness to research and grow a network base of venues for international projects
- Experience with Microsoft Office Suite strong level of proficiency with Word and PowerPoint
- Excellent interpersonal, planning, organization, and professional communication skills (written and verbal)
- A postsecondary degree/diploma or equivalent business experience
- Experience in event management or conference facility management an asset
- Flexibility with work schedule (early mornings, evenings and weekends) as required
- Able to work cross functionally and collaboratively to plan, execute and deliver all onsite events working with suppliers and clients
- Prepared monthly spreadsheets, reconciling supplier and outside client contracts
- Worked closely with food and beverage suppliers, Audio Visual suppliers, etc.
