Intake Supervisor
Reporting to:
Senior Manager - Operations
The Intake Supervisor is responsible for the management of the daily workflow and the leadership of the intake department staff.
This position requires an experienced individual with strong supervisory skills, with the authority to ensure that the department meets all quality, production and timeliness standards.
In addition to the day-to-day supervision of the staff, the Intake Supervisor will work with Senior Managers to improve decision-making processes and training.
The Intake Supervisor must be able to assist the management team in leading change and promoting a positive team attitude and will be required to effectively respond to unexpected changes or demands.
Education and / or Experience
University Degree OR
Two years of management / supervisory experience OR
Five years of related industry experience (SABS, Motor Vehicle Accident Claims, Personal Injury cases)
Strong communication skills, both written and verbal.
Demonstrated ability to promote a positive team-oriented environment
Demonstrated ability to work well under pressure
Extensive knowledge of medical terminology and medical disciplines
Strong problem solving, decision making, critical thinking, and multitasking, leadership, performance management skills.
Solid working knowledge of PIPEDA/PHIPA and best practices
Essential Duties and Responsibilities Include, but are not limited to the following:
In conjunction with the General Manager, interview, hire, train and review all eligible personnel.
Supervise, motivate and monitor the staff to ensure compliance with procedures, processes and Service Level Agreements.
Keep apprised of all referrals received each day, ensure referrals are adequately allocated between intake coordinators and maintain a knowledge of the duties of the personnel in the department.
Audit booking timelines and response times as per Service Level Agreements.
Utilize internal systems and procedures to maximize productivity.
Advise the Senior Managers of any workflow problems or improvement opportunities with the intake department.
Review any difficult or special referral cases including new referral sources.
Mentor the professional development and skills of the staff as determined in consultation with Senior Managers.
Keep staff current about company, department and organizational issues. This will be done via regular departmental meetings, one-on-one communications and distribution of written directives.
Advise Senior Managers of any issues raised by the staff and suggest actions that will improve processing or resolve the issues.
Perform miscellaneous job-related duties as assigned
Answer phones as required
Salary:
$50,000.00-$60,000.00 per year
