About the Role
Executive and Technical Support
- Booking internal, external, and virtual meetings and ensuring any material / equipment required
- Coordination with other project team members as required
- Attend various executive and technical meetings to take minutes of meetings and prepare agendas
- Assist with documentation preparation, proof reading and editing including Word, Excel and PowerPoint documents to ensure executives are well prepared for meetings
- Ensure there is a systematic file structure in place for documentation and maintain same
- Work independently on special nonrecurring and ongoing projects which may include planning and coordinating multiple tasks and disseminating information;
- Assist in the development, assembly, and production of detailed project technical reports
Office Management
- Manage the front office and reception area including direct management of the Receptionist/Administrative Assistant
- Prepare schedules and ensure reception coverage is in place for all planned and unplanned absences
- Fill in for reception when needed
- Oversee all aspects of office management
- Oversee the inventory, stationary supply and other essential stock items are always at appropriate levels (receptionist duty)
- Manage office contracts such as coffee service; janitorial service, cleaners etc.
- Other support tasks as required
- Oversee all office logistics to ensure that the office runs efficiently
About You
- Minimum 5 years administrative experience
- Advanced PC skills with Microsoft Office Suite (word, Excel, PowerPoint, etc.)
- Strong knowledge of administrative practices and procedures
- Ability to manage sensitive, complex, confidential information
- Excellent verbal and written communication and interpersonal skills
- Professional appearance and presentation
- Ability to prioritize and multitask in a fastpaced environment
- Strong attention to detail
- Confidentiality and discretion, outgoing and professional attitude
