We currently have a
Regular Full Time opportunity for a
Project Coordinator in the
Outpatient Services at our
St. John's Rehab Campus.


Hours of Work:
Weekdays : Days, 8 hrs; as per schedule


Summary of Duties
The Project Coordinator, Outpatient Services will coordinate projects and initiatives related to Outpatient Services programs.

The position is responsible for coordinating clinician scheduling and managing initiatives relating to process efficiencies. The project coordinator is also responsible for the delegation and overseeing of administrative staff.

  • Admin support for Patient Care Managers and Project Manager as needed
  • Assign duties to CAs as appropriate
  • Provides the operational support for Payroll
  • Provides the operational support for Vacation Calendar
  • Scheduling of preplanned clinician absences
  • Overseeing marketed services (Chiropody and Massage) scheduling
  • Back up for Initial Scheduling CA
  • Weekly meetings with Referral Coordinators to review cancellations/no shows
  • Wellness classes (Active Living/Arthritic Pool)
  • New EPR Registrations and discharges
  • Practice Perfect registration completion
  • Oversee scheduling, payment processing
  • Oversee Error Reports and follow up with responsible person
  • Purchasing (office supplies, minor equipment)
  • Invoice management
  • Coordinate Outpatient Team Meetings & send out meeting minutes after manager approval
  • Periodic chart audits
  • Welcome to Outpatient Services Agreement Letter
  • Outpatient Falls Screen
  • Practice Perfect Administration
  • Set up new employee, revise staff changes
  • Set up new and revised current treatment provider template schedules
  • Schedule/patient audit (ie. billing information, demographics)
  • Admin for Interviews and onboarding
  • Orientation/setup for new staff (practice perfect, discharge dashboards, payroll binders, NARF, set up telephone
- extensions, swim tests for PTA's, corporate orientation, general department, Occ. Health)

  • Set up mail slots for new staff and update mail slots based on staff changes
  • Oversee HIS OP overdue reports (OP D/C charts not received & OP D/C charts not returned) and follow up with responsible person
  • Conferences

Qualifications/Skills

  • College Diploma in a health related field or equivalent required
  • Minimum 2 years relevant experience
  • Experience managing project related budgets
  • Excellent communication and organizational skills with an ability to facilitate cooperative working relationships with multiple internal and external contacts
  • Proficiency in the use of MS Office software products
  • Ability to time manage, flexible thinker, ability to make decisions, ability to adapt to changing environments and work under demanding time lines
  • Excellent oral and written communication skills
  • Excellent interpersonal and leadership skills
  • Strong team player
  • Excellent organizational, priority setting and time management skills
  • Proven ability to resolve conflict and problem solve
  • Ability to maintain pleasant and professional manner while dealing with multiple and competing work priorities.
