Join our team that is focused on patient care and collaboration. Glebe Osteopathy and Wellness is a wellness centre that helps patients through pain or injury. Through collaborative healthcare and movement-based programming, we help patients prevent future injuries. We are located on Bank Street and minutes away from Lansdowne Park.


We are recruiting Patient Experience Coordinators to join our multidisciplinary team The successful applicant will be responsible for providing clients with excellent customer service to assist them with improving their overall health and wellness.

You will work at the administration desk to offer our clients a welcoming atmosphere.


Responsibilities

A. Patient Experience

  • Welcoming greeting to all visitors, receive and direct all visitors and enquiries, relaying and coordinating staff messages
  • Phone performance.
  • Provide accurate information for patients
  • Front desk décor, tidiness and setup
  • Promote rescheduling of appointments
  • Accurately collect payments, billings, and insurance information
  • Run specific reports to collect information for management

B. Feedback

  • Each month, meet with the team to discuss operational challenges and solutions
  • Attend training sessions and workshops

C. Clinic Space

  • Ensure the outside of the clinic (i.e. parking, walkway, front door, sandwich board, exterior windows) is organized, clean, and unobstructed
  • Report any issues with the physical space of the clinic
  • Front desk and patient waiting area are clean, organized, and follow brand guidelines
  • Treatment space, rooms and exercise area are clean, organized, and follow brand guidelines
  • Products are stocked, organized, and follows brand guidelines

D. Operations

  • Ensure completion of digital checklists
  • Follow patient experience operations
  • Winback calls, Retention calls, Confirmation calls, New Patient Registry, etc
  • Responsible for scheduling patient appointments, invoicing, and collections
  • Follow procedures related to specific programs and patient types
  • Suggest improvements and escalate any operational issues to the Patient Experience Manager

Requirements:


  • Hard working, self motivated, punctual, and dependable.
  • Professional & courteous at all times, with a positive attitude
  • Exceptional customer service skills in a reception environment, and a great team player
  • Maintain high standards in business and possess initiative
  • Must be detail oriented and have excellent organization skills
  • You have to have great verbal and listening communication skills for this role, be personable and welcoming.

Job Type:
Part-time

Part-time hours: 10-15 per week


Salary:
$15.50 per hour

  • Secondary School (preferred)
