**POSITION


RESPONSIBILITIES:

The duties for this position may involve but are not limited to:

  • Liaise with suppliers to acquire pricing, completing requisition and sending completed requisition to the supplier.
  • Maintain systems or spreadsheets for the number of purchase orders, and tracking of compliance with the relevant bylaws and policies.
  • Complete requisitions for office supplies, including checking items and ensuring the items have been approved.
  • Followup with suppliers for pricing and order status.
  • Review and prepare all purchasing/stores invoices for payment, and forward to accounts payable for payment.
  • Process all approved corporate promotional giveaways and gifts for events and functions.
  • Create and maintain budget spent systems or spreadsheets for all clothing and equipment.
  • Setup and maintain employees, vendors and items in financial or inventory systems
  • Assist with the daytoday activities in the Purchasing Unit, including special projects, filing, research, budget information, booking meetings, and other requests.
  • Process all promotional cash/cheque sales deposits, document sales, and forward to accounts receivable.
  • Process reports outstanding purchase orders and contracts in financial and inventory systems.
  • Assist the Senior Manager with disposal of surplus equipment, include sending out lists of items and arranging for delivery and pickup of items.
  • Reconcile monthly credit card statements for Senior Manager, Supervisor, and Buyers.
  • Responsible for providing assistance and guidance to other members regarding clothing and equipment;
  • Works with confidential information relating to the proper handling of all tenders, proposals and quotations. Does not require the disclosure of confidential information.
  • Financial responsibility to handle all for Tenders and Proposals and is responsible for processing and issuing purchase orders. Provides Supervisor, purchasing with reports relating to the expenditures for purchasing expenses.

MANDATORY QUALIFICATIONS:


  • Successful completion a college diploma in Business Administration, preferably in Purchasing and Supply Chain Management or Global Logistics.
  • Minimum of one (1) year prior experience in a purchasing environment.

QUALIFICATIONS:


  • Public Purchasing or Ontario Public Buyers Association Certificate preferred.
  • Excellent customer service and time management skills.
  • Organizational and planning skills and ability to complete a multitude of tasks simultaneously.
  • Solid computer skills, such as Microsoft Office, financial and inventory systems.
  • Problem solving abilities in order to handle issues relating to stock/equipment inventory and the ability to deal with a variety of requests from YRP members and vendors.
  • Effective communication skills in order to interact with members at all ranks, suppliers and vendors to exchange and clarify information, place orders and issue clothing/equipment.
