Legal and Compliance Associate/Executive Assistant
Toronto/Canada


This role will provide an exceptional level of support to the General Counsel and the Legal & Compliance team, taking responsibility and ownership for a wide variety of legal and regulatory tasks including administrative and supportive tasks.

Employee must be detail oriented, accurate and flexible, have the ability to work with a high level of autonomy and initiative, exhibit originality of thought, analytical skills and take the initiative in solving problems, challenges and deviations in handling business needs in a fast-paced environment.

Must be computer literate, proficient in data processing systems, possess professional demeanor and have the ability to maintain effective work relationships with co-workers and management.

Key responsibilities of this role are:
What will your essential responsibilities include?

  • Assisting in the preparation of responses to and coordination of requests from various regulatory bodies.
  • Maintaining template contractual documentation for use by the business.
  • Maintaining executed contractual documentation.
  • Providing such support as is necessary to the local legal and compliance team, including a wide variety of administrative and supportive tasks such as organizing team communications in Teams, mailings, scheduling meetings, assisting with meeting room, video conference for the team.
  • Booking all travel/conference/seminar requirements for the team in accordance with company policy. Coordinating travel itineraries.
  • Becoming the "go to" person with expertise on the COUPA (expenses) and GALAXY (legal entity) systems.
  • Facilitating any starter and leaver processes for team members of the department and coordinating their induction/ departure as required.
  • Providing extensive administrative and clerical support as requested e.g., filing, archiving, document comparison, etc.
  • Designing presentation slides to a high level of professionalism and accuracy.
  • Assisting the General Counsel with all Company Secretarial services including minute taking & preparation for Board & committee meetings, preparation of resolutions, scheduling of meetings, liaising with all relevant stakeholders and maintenance of statutory registers, minute books & other corporate records.
  • Serving as Commissioner of Oaths.
  • Assisting on corporate reporting requests from the company and assisting with projects/assignments to improve governance standards.
  • Preparing miscellaneous correspondence and memoranda and assisting with miscellaneous projects/tasks as assigned from the General Counsel.


Additionally, employee will also be assigned ownership of specific projects and processes and will be expected to demonstrate self-sufficiency and complete with thoroughness, accuracy and within time frames established.

We're looking for someone who has these abilities and skills:

  • Intermediate level of relevant experience preferably in commercial insurance and reinsurance; or within the financial sector.
  • Extremely competent user of Microsoft software, in particular Word, PowerPoint, Excel.
  • Highly driven selfstarter, with a strong desire to challenge and deliver.
  • Excellent verbal and written communication, collaboration, presentation and influencing skills with the ability to communicate effectively with all internal and external stakeholders.
  • Excellent attention to details and a meticulous eye for identifying inconsistencies and inaccuracies.
  • Ability to take ownership of work, whilst working effectively within a team.
  • Proven organizational and problemsolving skills, prioritization and time management skills with accurate results.
  • High dedication to the business clients and legal and compliance team evidencing professionalism even in high pressure situations.
  • Experienced in querying policy and claims information.
  • Paralegal certificate a plus.
