Manager, Administration (Mississauga, Office Based Role)

Compensation Package:
$80,000-$90,000 + total package


The primary purpose of this position is to provide effective communications and administrative support to the Association, ensuring the timely flow of information, coordination of activities, and efficient day-to-day operations.

The role supports the Association's members and internal stakeholders by preparing or reviewing and distributing communications, maintaining files and documentation, and assisting with scheduling, meetings, and organizational processes to enable the organization to operate smoothly and achieve its objectives.

Key Accountabilities

Dealer Committee Support

  • Assist with the scheduling, planning, and coordination of assigned Committee meetings
  • Support Committee Chair(s), Director(s), and lead support by preparing, editing, formatting, and distributing presentation materials, including advanced PowerPoint layout and typesetting to clearly communicate key messages
  • Manage the storage and organization of Committee presentation materials for future reference
Senior Leadership Support

  • Provide calendar management and scheduling support for members of the Senior Leadership team as assigned, including travel booking and coordination where required
  • Track expense receipts and prepare and submit expense reports in a timely and accurate manner
Convention Planning Support

  • Work closely with the convention lead to support the planning, organization, and execution of the biannual convention
Communications & Website

  • Lead the maintenance and ongoing administration of the organization's website, including design updates and content management
  • Prepare, review, and schedule broadcast communications to the Association's membership
  • Prepare, review, and distribute minutes for regional group meetings
  • Support ad hoc communications projects as required, including the development of templates and materials in PowerPoint and Word
Internal Files and Documentation

  • Lead the management, organization, and maintenance of the organization's internal shared file platform, leveraging SharePoint to ensure accessibility, consistency, and version control
Experience Required

University Degree or College Diploma in Business Administration
5 years administrative assistant experience
Demonstrated ability to handle confidential information appropriately
Excellent written and verbal/communication skills
Proficient in Office 365, including Outlook, Word, PowerPoint and Excel
Extremely organized with the ability to anticipate requests and be proactive
Ability to stay focused, efficient and effective in managing multiple priorities
Work effectively without supervision
Strong interpersonal skills and good judgement
