Role Description:
We are seeking a motivated Sales Administrator to join our team.

This individual will be instrumental in ensuring seamless transactions and providing superior customer service to our agents, facilitating their success and growth within the industry.


Responsibilities:

Carry out the processing of various types of real estate transactions (Buying, Listing, Leases, Builder) using Lonewolf software.

Maintain open lines of communication with Broker Managers, Administrators, and Accounting teams in relation to trades and agents' requirements.


Observe real estate transactions vigilantly to ensure full alignment with FINTRAC's guidelines, and report any discrepancies immediately to the FINTRAC Officer.

Regularly follow up with agents, other brokerages, and lawyers regarding the submission of necessary documents, commission invoices, and cheques.

Carry out other administrative tasks as directed by Management.

Manage real estate deals end-to-end, including overseeing trade sheets and settling contracts.

Regularly review and update real estate processes to ensure compliance with the law and industry regulations.


Collaborate with realtors, branch managers, administrators, legal professionals, and other brokerages to discuss potential issues, necessary documents, and deal closings.


Research and resolve outstanding issues in collaboration with leadership, realtors, external parties, and support staff, including matters related to commission payments.

Oversee the commission payments process and coordinate payments to realtors and external parties.

Respond promptly to inquiries and manage incoming correspondence efficiently.


Skills and Qualifications:


1-3+ years' experience in the real estate industry with a solid understanding of the Agreement of Purchase and Sale, Agency forms (buyer representation), and Fintrac ID.

Excellent computer, customer service, and people skills.

Strong analytical and organizational abilities.

Self-motivated with the ability to thrive in a team environment.

Ability to work effectively in a fast-paced, high-volume office setting.

Excellent verbal, presentation, and written communication skills.

Ability to balance multiple priorities and tight deadlines.
