The department of Seniors and Long-term Care is looking for an Administrative Officer to support the Deputy Minister's office.

Qualifications:

Essential:


  • Extensive experience providing administrative support to executive management.
  • Experience coordinating and managing correspondence, authority seeking documents and other highly sensitive materials on behalf of leadership.
  • Experience setting up and maintaining files, filing systems and document tracking systems to manage incoming and outgoing requests and correspondence.
  • Experience in calendar management including scheduling meetings, coordinating appointments, making travel arrangements and preparing necessary meeting materials.
  • Effective written communication skills including composing, formatting, editing, and proofreading various correspondence with strong attention to detail and high degree of accuracy.
  • Strong verbal communication skills to communicate effectively with various stakeholders.
  • Strong organizational skills to prioritize workload to meet strict deadlines.
  • Strong interpersonal skills to work collaboratively in a team environment.
  • Excellent decisionmaking and problemsolving skills.
  • Ability to take initiative and work independently with mínimal supervision.
  • Experience working with Microsoft Office software including Word, Outlook and Excel.
  • Experience handling sensitive material in a confidential and professional manner.

Desired:


  • Completion of postsecondary education in Office Administration or equivalent program/training in administration.
  • Experience with document tracking systems such as Activities and Issues Management System (AIMS) or Shared Information Management System (SIMS).

Duties:

The Administrative Officer is responsible for providing professional and confidential administrative support to the Deputy Minister.

Working independently and ensuring smooth operation of the Deputy Minister's office, the incumbent is responsible for:


  • Coordinating and processing correspondence,
  • Liaising with internal and external stakeholders on behalf of the Deputy Minister,
  • Assisting with coordination of meetings, events, and travel, including calendar management,
  • Researching, compiling data and preparing reports,
  • Advising on administrative matters/processes and carry out special assignments/projects.
