Job Status:
Full time, must be eligible to work in Canada


Location:960 Quayside Dr #300, New Westminster, BC V3M 6G2


Hours:40 hours a week. Regular Office hours


Salary:
$40,000-47,000 annually


Reporting to:
The Director of Operations


Software Knowledge:
Microsoft Suite and Excel is a must

  • Accessible to reliable transportation

WHAT WILL YOU DO?


The purpose of the Operations Coordinator is to support the Director of Operations in directing and overseeing the operations within the assigned region.

The role will be responsible for assisting the Chief Operating Officer in both office administration and operations roles.

Specifically, the Operations Coordinator will be responsible for:

  • Assisting the Director of Operations in their day to day duties including assisting in preparing and reviewing various reports with high attention to detail and accuracy as well as various administrative support duties.
  • Project Management
  • Arranging, planning and coordinating business appointments.
  • Providing necessary meeting notes and background information in preparation for each appointment
  • Project management relating to tasks, timelines, and processing orders to ensure deadlines are met.
  • Following up with teams and departments on tasks to ensure deadlines are met.
  • Administrative Support
  • Composing and/or editing a variety of documents including highly confidential or sensitive correspondence, memoranda, contracts and proposals.
  • Preparing reports and correspondence, including writing and editing copy.
  • Assist the Chief Operating Officer and team with adhoc projects and events.
  • Recording, transcribing and distributing minutes of meetings.
  • Maintain a wellorganized digital and paper filing systems that permits easy reference and rapid retrieval of information.

Reporting and Analysis Support

  • Assist in preparing, reviewing, analyzing and interpreting various reports, with attention to detail and accuracy, such as:
  • Annual budgeting documents
  • Financial and operational reports
  • Student data reports

Communication Liaison

  • Promptly screening and distributing incoming communications, preparing responses to correspondence when and as appropriate
  • Researching, prioritizing and follow up on incoming issues and concerns.
  • Working with other departments to coordinate activities and assigned project work.

General Administrative Duties

  • Performing clerical duties such as photocopying, scanning, uploading to folders
  • Reviewing operating practices and suggesting improvements
  • Other duties as assigned

Education and Experience:


  • An undergraduate degree in business administration, commerce, hospitality or related discipline;
  • Minimum 2 years related work experience in Project Management, Office Administration or Business Operations

Skills and Abilities:


  • Excellent written and oral communication skills, bilingual French and English is a requirement.
  • Advanced oral and written communication skills, including presentation, group facilitation and business writing skills.
  • Flexible and adaptable, with the ability to handle change in priorities and task urgency.
  • Experience in conducting analyses and interpreting budgetary and statistical data.
  • Strong numeracy skills
  • Strong interpersonal skills and the ability to build and cultivate internal and external relationships with stakeholders
  • Strong attention to detail.
  • Demonstrates experience in producing highquality and error and omissionfree deliverables within tight deadlines.
