Position Overview:

This part-time position requires a commitment of 21 hours per week, Monday to Friday.


Key Responsibilities:


Assist the RAP Team in delivering effective Resettlement Services, demonstrating knowledge of RAP services and maintaining accurate and sensitive communication with participants, staff, contractors, and community stakeholders.

Support the RAP Coordinator and RAP Team by performing various tasks, including responding to inquiries, preparing RAP intake documents, managing document drop off/pick-up, handling mail, data entry, facilitating interpretation and translation requests, and other assigned duties.

Aid in tracking and monitoring client logistics, such as confirmed NATs/arrivals, preparing food cash and incidental allowance requests, loaning tablets to GARs, preparing client summary reports, and coordinating client referrals to service providers.

Manage incoming deliveries, direct them to the appropriate RAP staff, and provide support for office equipment.
Take responsibility for ordering and receiving Welcome House supplies needed for program delivery.


Collaboration and Teamwork:


Actively participate as a proactive member of the Immigrant Services team, contributing to information updates, problem resolutions, and attending team meetings.

Identify gaps and issues in the delivery of initial front desk services and contribute to short and long-term KCR planning.

Foster positive relationships with key stakeholders.
Engage in ongoing professional development opportunities.
Provide IT support when required.


Data Management and Documentation:

Generate and submit monthly activity reports to the Refugee Resettlement Coordinator as required.
Maintain accurate and secure information files, ensuring appropriate disposal of documents.


Qualifications:

Completion of an Office Administration course or a minimum of three years of relevant experience is preferred.

Familiarity with community resources, agencies, and professional services for at-risk or marginalized populations, and the ability to leverage those resources for participant benefit.

Excellent English language skills, both written and verbal, with strong interpersonal and cross-cultural communication abilities.
Strong prioritization and organizational skills, with the ability to multitask and effectively manage time.
Demonstrated ability to assert oneself and handle difficult situations in accordance with KCR policies and procedures.
Understanding of boundaries and self-care, including knowledge of financial, personal, medical, legal, conflict of interest, and confidentiality boundaries.
