The
Administrative Assistant is an integral part of the Administration Team, responsible for providing support to both participants and staff.

Members of this team often serve as the initial point of contact for participants making inquiries or utilizing our services, playing a crucial role in managing agency calls, welcoming participants, and ensuring their needs are met upon arrival in the reception area.

The ability to collaborate as a team player and communicate effectively with both participants and staff is paramount.

What You'll Do

  • Provide administrative support to all staff.
  • Develop and maintain professional working relationships with staff, managers, and internal and external stakeholders.
  • Answer incoming agency calls and direct them to the appropriate person in a professional and friendly manner.
  • Work collaboratively with the Administrative Supervisor to ensure the timely and efficient delivery of administrative functions.
  • Welcome participants and inform staff of their arrival.
  • Assist staff and participants with available parking.
  • Assist agency personnel with document needs as they occur, such as printing, delivery, etc.
  • Maintain and manage various supply stocks, such as print materials, swipe cards, and special event materials.
  • File management in both print and digital mediums.
  • Effectively process payments.
  • Maintain the general reception area, including the coffee stations and play areas for children, kitchen areas for staff.
  • Support agency committee initiatives.
  • Attend team meetings, as applicable.
  • On occasion, evening shifts may be required.
  • On occasion, work at our other two locations to cover shifts, as required.

What You Bring

  • Proficiency in Microsoft 365 with a focus on SharePoint, Word, Teams, and Outlook is required.
  • A minimum of 2 years of previous experience in an administrative reception role; OR demonstrated and related transferrable skills or experience.
  • Postsecondary Diploma in a relevant field is an asset.
  • Strong interpersonal skills with the ability to collaborate on a wide variety of tasks within a multidisciplinary environment.
  • Excellent written and verbal communication skills.
  • A commitment to providing quality service.
  • Knowledge of community resources available locally is a definite asset.
  • Knowledge or experience with case management software is an asset.
