    Position Summary:


    Reporting to the Director, Infrastructure, the role involves assisting the Highway Operations department with various administration duties including, but not limited to:

    • Typing, filing, and photocopying
    • Updating manuals and preparation of letters/documents
    • Data entry, contract preparation, and quotation requests
    • Purchase orders, corridor management, and permitting

    Position Responsibilities:

    • Input field data, invoices, payment, and other information into Excel Spreadsheets and databases
    • Provide accurate, organized, and efficient administration support to the Highway Technical Services team
    • Summarize information for the Sr. Manager, Highway Technical Services
    • Assist with filing encroachment applications/permits, drawings, and other records
    • Digitizing records and drawings as well as drawing inventory clean-up
    • Assist with the preparation of purchase orders and procurement documents
    • Updating manuals and spreadsheets
    • Maintain and update electronic and hard copy filing systems
    • Develop and prepare a variety of documents, reports, and forms
    • Assist in the preparation of tender packages to send to contractors

    Qualifications/Experience:


    Business Administration: 2-year Program or equivalent experience

    Civil Engineering Technologist: 2 or 3-year Program

    Skills Required:

    • Excellent documentation, communication, and organization skills
    • Detail-oriented and committed to accuracy
    • Experience with Microsoft Excel, Access, Word, PowerPoint, and Visio
    • General knowledge of accounting, accounts payable, and cost reporting/tracking is an asset
    • Team player capable of working independently
    • Ability to prioritize and work well under pressure
    • Strong interpersonal, decision-making, and problem-solving skills
    • Flexibility in duties performed
