Job Summary
The Advisor, Public Affairs is responsible for coordinating business donations, sponsorships, and events to maximize impact.

The role is accountable for business organization relationships, sponsorships, event logistics, merchandise orders, event communications, and facilitating appearances by Little Obie and Milo.

Additionally, tasks involve coordinating shipping, activating corporate sponsorships, developing team calendars and budgets, improving file systems, and handling expense claims and contracts.


Main Responsibilities

Donations and Sponsorships

  • Plan and coordinate CN involvement at business events in collaboration with other team members, to maximize value and increase impact
  • Act as the primary contact for business organizations
  • Coordinate contract renewals and membership benefits
  • Enter invoices in Systems, Applications and Products (SAP) and follow up on outstanding invoices and membership renewals
  • Coordinate the business organization sponsorships of events and programs
  • Coordinate logistics for CN's sponsorship and participation in trade shows, conferences and events, working with local suppliers and Évoila Productions
  • Handle orders for CN promotional merchandise for business organization events (e.g., budget, inventory, distribution, and invoicing in collaboration with main suppliers)
  • Coordinate the production of deliverables related to event sponsorships communications materials
  • Plan and coordinate events associated with Little Obie and Milo appearances including managing requests, logistics and coordination of activities in collaboration with Mechanical, Operations, CN Police Service (CNPS) and Top Marketing
  • Plan and Coordinate shipping of swag and booth items for events attended by Public Affairs (PA) team
  • Activate Corporate sponsorships approved by regional Public Affairs Managers and coordinate an annual review of participation

Public Affairs

  • Develop a team calendar to ensure consistent team coverage throughout the year
  • Develop and handle team budgets for monitoring and reporting purposes throughout the year
  • Develop and organize a team file structures and systems to improve ease of access and help respond to possible audits
  • Handle the Borealis database to improve user functionality, reduce administrative burden and improve system performance

Team Support

  • Complete and submit expense claims for Directors and coordinate reimbursement for member expenses related to advisory groups like the CN Agricultural Advisory Council
  • Lead the establishment, review, and renewal of team contracts with suppliers, in partnership with regional Public Affairs Leads, to ensure consistent value and due diligence
  • Process billing of contracts

Working Conditions
The role has standard working conditions in an office environment with a regular workweek from Monday to Friday.

Due to the nature of the role, the incumbent must be able to meet tight deadlines, handle pressure, and stress and be available to work outside of regular hours as required.

The incumbent must be able to handle confidential information.


Requirements:


Experience

  • Between 3 to 5 years of relevant experience
  • Experience in marketing, sponsorship, and donations or event management

Education/Certification/Designation

  • Bachelor's Degree or College Diploma in Marketing, Communications or equivalent
