We are looking for a quick thinking, highly accountable, well-organized individual to fill the role of Design Administrator at Kelly Deck Design.
This person is passionate about creating order from chaos and thrives in a busy, changing environment. They easily shift gears, maintain a calm disposition and keep focus on the most important tasks at hand. They are very good with the public and able to navigate many personalities with ease.Work Hours:
Monday to Friday 9 am - 5 pm
- Front line calls/scheduling with clients, vendors and trades on behalf of the design team
- Office Administration and care maintaining supplies, general cleanliness and overall office organization
- Preparing meeting rooms for meetings
- Preparation of documents/databases required for interior design construction
- Assisting design team in obtaining prices, samples etc for design projects
- Processing payments and reconciling visa transactions
- Management of sample and literature library
- Coordinating meetings with sales reps for design team
- Pickup and delivery of items as required
- Production of expense reports for the design team
- Maintain project, vendor, client lists/database
- Maintaining digital templates/document
- Providing executive support to director as needed
- Purchasing and returns for projects as needed
Minimum Qualifications:
- Diploma or certificate in business administration or a relevant field.
- 23 years working experience in a high pressure, project based, fast paced and detailed oriented office
- Exceptional time management and task prioritization skills
- Exceptional knowledge of MS Office Suite
- Exceptional knowledge of Google Calendar/Mail/Drive
- Valid BC drivers license
Preferred Qualities:
- Accurate and precise data entry skills
- Extremely organized with strong attention to detail
- Be able to work independently and in a fastpaced, team environment
- Ability to multitask many different tasks/projects
- Interest in working in a creative field
- Positive, proactive and helpful to the team
- Ability to liaise well with the staff, clients and reps
- Desire to better the everyday operations of the firm
