  • About this OpportunityReporting to the Provost & Vice President Academic, the Division of Student Affairs helps to transform students' lives by supporting and inspiring the highest standards of student learning and success, community engagement and staff development.
The Division is comprised of 26 reporting units in four departments:
Athletics and Recreation, Campus Services, Office of the Registrar, and Student Services.

The comprehensive and integrated range of services we provide make Student Affairs one of the most dynamic and diverse divisions on campus.

To achieve this, Student Services places student learning at the centre of all efforts in support of both student academic achievement and personal, social, cultural and cognitive development.

Student Services is accountable for the delivery of a wide range of programs, front-line services, policy management, and collaborative projects in support of the overall quality of the UVic student experience.

Student Services also supports and/or closely collaborates with senior academic leaders, faculty, staff, student leaders, and a number of internal and external strategic partners beyond the department in order to achieve key Divisional & institutional goals.

Student Services is responsible for the oversight and management of institutional policies and practices that have significant impact on student academic success, student health and well-being, student equity, diversity, & inclusion initiatives and student risk management & critical incident response.


The Academic Advising Centre helps undergraduate students in the Faculties of Humanities, Science and Social Sciences at the university navigate and ensure that their graduation requirements are complete, whether they are newly admitted, first year or current undergraduates.


  • Job SummaryAs a member of the team the Assistants participate in programs, initiatives and events hosted by the Centre, Student Affairs and/or the university that support students in these faculties.

As a result of the nature of the duties and responsibilities of this position, occasional evening and weekend work may be required.

  • The capacity for processing a high volume of work in a high process environment;
  • A dedication to maintaining a high level of accuracy;
  • Intermediate skills in use of UVic student information systems or equivalent

Specialized Knowledge/Education:
- the Academic Calendar including familiarity with approximately 189 academic program options available in Humanities, Science and Social Sciences, faculty regulations, policies of the Academic Advising Centre and the University of Victoria, office protocols.
- the BC Freedom of Information and Protection of Privacy Act as it relates to student records


Experience:


  • Demonstrated experience in the use of Microsoft Office (Word, Excel, PowerPoint) and complex database(s) (e.g. Banner).
  • Experience providing customer service.
  • Experience working in an administrative or clerical position in a high volume office setting.
  • Preference may be given to work experience gained in a postsecondary or comparably large and complex organization.
