Job Summary:


The Belleville Senators are seeking an Coordinator to ensure team and executives travel and day to day team logistics are executed in a professional, efficient and financially responsible manner at all times.

Assisting players, their families and team executives with their day to day needs including any scheduled appearances and events as required.

Maintaining streamlined processes and communication and ensuring coordination between Hockey and Business operations.


Essential Duties & Responsibilities:


  • Work with the Head Coach, General Manager, hockey staff and Belleville business operations to prepare budgets and forecast all team travel.
  • Coordinate the schedule of all practices home and on the road with the head coach and with game and practice arenas.
  • Execute and maintain excellent working relationships with hotel, bus, and flight contacts.
  • Manage and account for all per diem costs and charges while on road trips.
  • Manage all team meals in coordination with the Belleville Senators conditioning department.
  • Manage the team schedule in coordination with the Head Coach
  • Fulfill all ticket requests for the hockey department.
  • Complete player expenses.
  • Manage all arena key card distribution for players and hockey staff.
  • Coordinate housing with players.
  • Coordinate all travel between the AHL team and feeder leagues.
  • Manage LeagueStats AHL roster website.
  • Facilitate AHL Training Camp annually for 35+ prospective players to fill 2 professional teams (Belleville and ECHL)
  • Act as key intermediary, first point of contact, consultant and project manager for all Senators players and their families worldwide.
  • Facilitate public appearances, playersponsor relations.
  • Coordinate daily with coaching, training, scouting, media relations and operations support team.
  • Manage relations with key sponsors.
  • Contribute to multimillion dollar player transactions, player retention and the active development of prospects within AHL and ECHL affiliate organizations.
  • Work with accounting to properly control expenditures and all of the necessary internal/external chargebacks.
  • Responsible for hundreds of thousands of dollars annually of hockey department purchases on company issued credit cards and ensure all expenditures are accurately coded.
  • Responsible to coordinate annual savings while adhering to CBA rules.
  • Ensure all proper government documentation (including work permits, visa's and passports) are in valid order for both players and their families.
  • Maintain an up to date database with contact information and travel documentation of all players, prospects and hockey staff
  • Assist player's and staff families and friends with their daytoday logistics including all immigration into Canada, relocating services, schooling, banking and day to day contacts for ease of transition to the City of Belleville
  • Coordinate end of season AHL family travel.
  • Plan preseason schedule logistics and game reconciliation
  • Available 24/7 to update/coordinate/communicate any changes to the daytoday operation of the hockey club
  • Maintain a good working atmosphere for all hockey staff, players and executive of the hockey club
  • Be available to attend Ottawa Senators rookie tournament, Development camp, etc.
  • Financial reconciliation and organization for hockey ops related expenses.
  • Act as the communication representative between hockey operations and Belleville Senators business operations.
  • Coordinate with media, marketing and communications department for all needs requiring players, staff or executives

Requirements:


  • University/College Degree in business administration, sports management or a related field
  • 12 years of previous experience in a team services role and/or professional sports environment
  • Exceptional written and verbal communication as well as relationship management skills
  • Be selfdirected and able to work independently with integrity
  • Effective organization and prioritization, with the ability to adapt to rapidly changing demands
  • A strong work ethic and desire to build a career in the professional sports industry
  • Able to work nontraditional hours, including nights, weekends, holidays and game days as needed
  • An entirely professional attitude and demeanor at all times
