- Operations Assistant, International
Position Summary - Do you have an interest in Administrative work with a passion for student success? We have a great opportunity for you to join our team in a termcertain role as our Operations Assistant, International.
- The Operations Assistant is an efficient and technically skilled generalist that supports the overall operations of the International Division. Reporting to the Director of International Education, this role will contribute to supporting work across the Division and will perform a wide variety of logístical, operational, and administrative support tasks, ranging from complex to routine, all of which contribute to the efficient and professional operation of this department. The incumbent must have the ability to interpret and make decisions in accordance with procedures and practices of the organization and must be flexible and demonstrate the ability to maintain confidentiality, diplomacy, and tact at all times.
Position Responsibilities
Divisional Operations
- Updates and revises documents and forms to be used within the International Division
- Supports the management of the International Division's general inboxes
- Organizes special events as required by the International Division, which includes booking facilities, making catering arrangements, scheduling participants, etc.
- Supports the successful delivery of inperson or virtual events by managing the event registration process, coordinating promotions and communications, and preparing materials as required
Administrative Support to Director, International Education & International Recruitment Manager
- Manages the extensive and constantly changing schedules of the Director and International Recruitment Manager by identifying priorities and organizing workflow activities to ensure that competing demands are appropriately managed
- Prepares, gathers, and relays confidential information and material on a regular basis
- Drafts correspondence, documents, and communications on behalf of the Director and International Recruitment Manager to internal and external groups
- Makes all arrangements for any travel required by the International Division staff
- Monitors the International divisional operating budgets
- Maintains a comprehensive budget tracking spreadsheet and consistently reconciles this with data available through Financial Service's Online System
Required Qualifications
- Two (2) years of postsecondary training, completion of a community college certificate including trades apprenticeships or equivalent in preferable business, management, or related field
- 23 years related experience
Preferred Qualifications
- Four (4) year undergraduate degree, or three (3) year undergraduate degree plus one full additional year of University in a related program representing four years of study or equivalent in Business, Management, or related field
- Advanced computer and technology skills, especially with Microsoft Office
- Ability to understand and navigate the administration of a postsecondary educational institution
- Experience preparing meeting agendas, minutes, letters, and memos accurately and error free
Salary or Hourly?
- Salary
Salary - Starting at $26.75 per hour
Benefits and Compensation Information - An additional 8% of the hourly rate in lieu of vacation. Eligibility to access benefits is dependent upon the CUPE Collective Agreement.
