Build Automated AI System to Extract Construction Project Data from Meeting Transcripts

Job description
What I Need:
I have 104 planning board meeting transcripts in I need you to build a system that extracts construction project data and outputs it into a Google Sheet or Airtable.
Input:
My login (I provide credentials)
Output:
Spreadsheet with ~50-200 rows of relevant construction projects + all associated contacts. Extraction rules attached.
The Challenge:
Each meeting discusses multiple site plan applications (construction projects).
For each relevant project, I need:
Project details (type, size, address, application number)
All contacts mentioned (attorneys, engineers, architects, planners)
Each contact's name, company, role
Critical:
Multiple people are mentioned in each meeting. Your system must correctly associate each person with their specific project.
What Projects to Extract:
INCLUDE (15,000-500,000 SF): Self-storage, warehouses, manufacturing, distribution centers, retail centers, townhomes, multi-family (10+ units), office buildings, mixed-use, industrial parks
EXCLUDE:
Single-family homes, small apartments ( less than 10 units), minor improvements (garages, driveways, sidewalks)

Your Job:
Design the tech stack - Recommend tools based on your experience (web scraping, AI/LLM APIs, automation, output format)
Build the system - Access Cloverleaf, extract meeting data, analyze with AI, filter projects, extract structured data, output to spreadsheet
Deliver accuracy - 85%+ correct extraction on key fields (project type, size, addresses, contact names/companies)

Deliverables:
Working system that processes all 104 meetings from 01/01/2025-01/01/2026
Output spreadsheet with extracted data
Brief explanation of how it works
Repeatable workflow for ongoing meeting detail extraction
Success Criteria:
85%+ accuracy on project filtering, project details, contact names/companies
Correctly associates contacts with their specific projects
Handles missing data gracefully (leaves blank, doesn't invent)
Final spreadsheet is ready to use (I just open it and start working)
Your Proposal Must Include:
Recommended tech stack and why
How you'll handle contact extraction (associating multiple people with multiple projects)
Example of similar work you've done (with accuracy metrics if available)
How you'll handle edge cases (missing data, vague descriptions, multiple projects per meeting)
Can you meet the February 26th deadline?
Pricing - fixed price or hourly estimate
Required Skills:
AI/LLM API experience (Claude, OpenAI, etc.) for NLP tasks
Data extraction from unstructured text
Prompt engineering for accurate filtering and extraction
Experience with complex data association problems
Contract duration of 1 to 3 months.
