The Office Assistant is the perfect fit for someone who has exceptional organizational and communication skills. Must be a reliable and trusted team member who is proactive and has a solutions-oriented mindset toward all responsibilities.

We are looking for a strong office assistant to help with various administrative tasks and also work collaboratively with Projects and Sales teams by facilitating travel schedules, documents and bookings.


Key Responsibilities

  • General Reception Duties
  • Greet guests
  • Accept packages
  • Receiving and sorting daily mail
  • General office filing
  • Oversee office supplies needs
  • Oversee company cafeteria needs
  • Order office lunches for guests, and staff lunches
  • Answer general office calls, cover for admin and sales calls as needed
  • Maintain the overall presentation of the office
  • Assist Projects and Sales with Travel Planning & Administration
  • Daily monitoring of Project Schedule for travel requirements 2+ weeks in advance
  • Preparation and submission of travel cost estimates for client approval
  • Work with company travel agency as needed
  • Follow up with the client for estimate approval
  • Manage travel logistics & reservations / follow up on any changes as needed for:
  • Flight bookings
  • Ground transportation
  • Hotel accommodations
  • Preparation of all travel documents and delivery to travelers
  • Communicate with clients & Northwind staff as needed to confirm detail on all of the above
  • Assist in other office duties as departments need generally involving typing of documents.

Qualifications

  • Postsecondary education
  • Previous experience in an office environment
  • Ability to work independently or in a team environment
  • Must be able to work without direct supervision
  • Excellent written, verbal, communication, and interpersonal skills
  • Flexible, dependable and able to multitask
  • Computer proficiency (Microsoft Office)
